Duties and Responsibilities
The ideal candidate will be a motivated, detail-oriented professional with a passion for administrative support, who demonstrates the ability to be a self-starter. The duties include:
+ Provide comprehensive administrative support to the DCD Director and Senior Managers, including calendar management, scheduling meetings, answering phone calls, preparing documents, and overseeing various administrative projects.
+ Organize and attend committee and/or board meetings, prepare agendas, and take minutes during sessions.
+ Proofread Agenda Item Reports (AIRs) for accuracy, formatting, and completeness, and upload them to the cloud-based agenda management system.
+ Submit Leave Requests for DCD employees via Kronos, coordinating with the main call center for employees calling in.
+ Create and track Maintenance Request Work Orders for tasks such as light bulb replacements, window cleaning, restroom upkeep, and elevator repairs, ensuring clear communication with relevant staff.
+ Submit Office Equipment Help Desk Tickets for issues with copiers, scanners, missing files, etc., and maintain communication with the appropriate team members.
+ Coordinate and manage travel arrangements, including registration, transportation, accommodation, and reimbursement, ensuring forms are submitted and approved promptly.
+ Oversee the FMLA process by mailing certification forms, managing tracking sheets, sending intermittent leave slips, and ensuring paperwork is submitted on time.
+ Schedule and monitor employee performance evaluations, ensuring completion within deadlines and maintaining records.
+ Update and manage employee information, including the organizational chart, phone list, shared calendars, and email groups.
+ Assist with Departmental HR Liaison tasks, such as posting job openings, scheduling interviews, onboarding, and managing RPA requests, while maintaining a high level of confidentiality.
+ Contribute to the annual inventory assessment of fixed assets and equipment.
+ Assist with payroll-related tasks as needed, including reviewing hours, addressing discrepancies, and providing approval.
+ Cross-train and offer backup support to other administrative specialists.
+ Perform additional duties as assigned.
Education, Experience, Licensing
+ Requires any combination of education and experience equivalent to High School graduation or GED equivalent supplemented by specialized courses/training equivalent to completion of one year of college in business administration, human resources, or closely related field and two years clerical, customer service, administrative or closely related office support experience.
+ Possession of a valid driver's license with an acceptable driving record is required.
Supplemental Information
+ Familiarity with regulations and processes related to zoning, development, planning, construction, or permitting is a plus.
+ Exceptional written and verbal communication skills to effectively engage with a variety of stakeholders.
+ Proficient in computer software and Microsoft Office Suite including Word, Excel, PowerPoint, and Office.
+ Meticulous attention to detail and a high level of accuracy.
+ High degree of professionalism and confidentiality in all tasks.
+ Self-motivated and able to manage tasks autonomously.
+ Ability to handle sensitive tasks with a positive attitude and discretion.
+ Skilled in prioritizing tasks and managing multiple assignments simultaneously, ensuring deadlines are met.

The work hours and days for this position are Monday through Friday, 7:30 AM to 4:00 PM.
