PSE's New Product Development team is looking for qualified candidates to fill an open Administrative Specialist position!

The Administrative Specialist is responsible for providing administrative and analytical support for the department. This individual will perform basic data gathering or research in support of management, as well as pick up mail and checks weekly in the office. They will process invoices and enter them in SAP, enter purchase orders in SAP, order office supplies for staff, ensure staff has access to required systems, submit access requests, and organize and coordinate meetings for department personnel. The Administrative Specialist will create purchase requisitions for temporary staffing and ensure contracts with service providers remain up to date. They will handle sensitive and confidential information, use independent and discretionary judgment, and coordinate tasks and assignments simultaneously, as well as interact at the Officer level with professionalism. This individual will also be responsible for using various computer applications to create charts, correspondences, reports and other work as needed.
The Administrative Specialist will uphold the safety compliance standards inherent in PSE’s operating and/or field procedures related to work responsibilities, as well as promote and support a culture of total safety.
This individual will demonstrate commitment to conduct business honestly, ethically and consistent with our core values and Code of Conduct. They will ensure duties are performed in accordance with all regulatory compliance obligations.
This job is under federal regulation by the Department of Transportation (DOT) and is subject to pre-employment and random drug screenings that include screening for the presence of marijuana and marijuana metabolites.
Job Responsibilities Manage vendor/supplier contracts and process invoices to ensure accurate billing and compliance. Process checks and payment requests. Create new vendor contract requests and change orders. Assist customers via phone and e-Gain communications. Schedule and coordinate meetings for the department. Gather, organize, and archive paperwork and data for the department. Perform other day-to-day administrative duties. Minimum Qualifications High School education or equivalent. Extensive experience using word-processing, spreadsheet, database, and presentation software. Previous administrative support experience. Desired Qualifications Experience working in SAP and/or Ariba. Experience editing and reviewing vendor contract documents. Adaptable and professional interpersonal communication skills. The pay range for this position is $51,400.00 - $79,800.00, and this position is eligible for annual goals based incentive bonuses.
