Administrative Specialist

Position is for Locations: Murrysville and New Stanton (Hunker), Pa.

 

Cleveland Brothers, the largest Cat® dealer in Pennsylvania, northern West Virginia and western Maryland, has an immediate opportunity for an Equipment Management Services, Administrator.


Cleveland Brothers Equipment Co., Inc., your local Caterpillar dealership, is looking for a highly motivated self-starter to join our growing team of established and successful professionals within our Equipment Management Services (EMServices) group located in Murrysville and New Stanton, Pa.


Position Summary:


This position has a key role in the administrative support of Caterpillar and other OEM-branded equipment service agreements that help our customers lower owning & operating costs and improve uptime and availability of their assets. This individual works directly with the Cleveland Brothers management team, sales, service, support, and other departments providing professional administrative assistance.


Primary Responsibilities:


• Possess excellent verbal, written, analytical, and administrative skills with attention to detail;
• Regularly update and maintain information in dealer business system, and other data base repositories;
• Accurately create and maintain digital files and folders on network drives;
• Maintain, generate, and reconcile accurate invoices weekly, monthly, and annually;
• Create, review, maintain, and update Excel files for daily, weekly, monthly, quarterly, and annual reporting;
• Collect and accurately assemble multiple types of digital, physical, and verbal information from various sources;
• Use existing systems to identify equipment sold with service agreements or other support offerings;
• Ability and proficiency to learn and effectively utilize Caterpillar and dealer web sites and information;
• Professionally maintain confidential files for storage and documentation;
• Serve as back-up support for other positions/duties, as required;


Skills, Knowledge, Qualifications:


Intermediate to advanced computer skills required. Applicants must be proficient with Microsoft office applications. Successful candidates will possess excellent verbal and written administrative skills with an emphasis on accuracy and detail. Ability to prioritize duties, work both independently and within a team. Strong self-starting, interpersonal, professional communication, and multi-tasking skills are required. Must be accountable, flexible, and successful both individually and within a team environment.


Progressive experience and skills, focusing on exceptional internal and external administrative support.
Business administration, office management, or business management degree is preferred, or an equivalent combination of training and experience acceptable to the company.
