Job Role: Administrative Support Specialist – Journeyman City/State/Region: Quantico, VA / Washington, DC and Northern Virginia area. Location: Onsite (DCSA Headquarters) Job Type: Full-Time / Exempt Clearance: Active Secret clearance is required Salary Range: $50k – $70k Job Posting Close Date: 04/30/2025 Overview: INTECON, LLC is seeking a motivated Administrative Specialist to provide essential administrative and operational support to various offices within the Defense Counterintelligence and Security Agency (DCSA). This role supports multiple departments, including the Office of the Inspector General (OIG), Office of Small Business Programs and Industry Engagement (OSBP), Logistics Management Office (LMO), Office of General Counsel (OGC), and the Office of the DCSA Director, by ensuring efficient day-to-day office operations. Responsibilities encompass calendar management, travel coordination, document preparation, record maintenance, and serving as a central point of contact for administrative functions. Roles and Responsibilities: + Administrative Support - Perform a comprehensive range of administrative duties to ensure the efficient functions, including: + Calendar management and scheduling. + Preparation of correspondence, reports, and other documents. + Coordination and management of travel arrangements (domestic and international). + Monitoring and tracking of tasks and deadlines. + Managing office operations, including supply procurement and inventory management. + Handling incoming and outgoing communication, including phone calls, emails, and messages. + Organizing, printing, filing, and distributing documents. + Processing mail and shipping packages, including overnight deliveries. + Other duties as assigned to support organizational goals and team requirements. + Executive Assistance - Work directly with the department Chief to manage their daily work routine, including: + Scheduling and coordinating meetings, speaking engagements, and travel. + Exercising discretion when prioritizing commitments and evaluating requests. + Acting as a gatekeeper for time and information flow. + Serve as the Point of Contact for the department: + Serve as the primary liaison for the division on electronic taskings and correspondence. + Coordinate with internal and external stakeholders to manage calendar and meeting requests for the department Chief. + Ensure timely and accurate communication and completion of requests. Clearance Requirements: + Active Secret clearance is required; Top Secret clearance is preferred. Qualifications: + Associate's degree in Business Administration or a related field is required. + Equivalent years of experience or relevant certifications may be considered in lieu of a degree. + Advanced education or training in administrative support, task management, or related disciplines is preferred. + At least 3 years of administrative support experience, with at least 1 year in a high-profile, fast-paced environment requiring tact and diplomacy. + Demonstrated proficiency (2+ years) using task management systems (Correspondence and Task Management System (CATMS), JIRA, ServiceNow) to coordinate assignments and maintain records. + Strong organizational skills with the ability to prioritize and manage multiple tasks effectively in a high-paced environment. + Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Suite, and SharePoint. + Excellent written and verbal communication skills, with high attention to detail. + Ability to adapt to shifting priorities and resolve issues efficiently while maintaining professionalism. + Proven ability to work collaboratively with all levels of an organization, including senior leadership. + General understanding of DoD security and administrative policies is preferred.
