Description of Work

This position will function as an Administrative Specialist II with the Division 9 Construction Unit. This position will be responsible for the following daily duties: gathering field data from Resident/District Engineers and Utilities to complete monthly overdraft status spreadsheets for each project located in Division 9 whether past, current and/or future; prepare/review and submit monthly overdraft status reports to the Division Construction Unit while in addition to preparing and submitting the funding allocation request form projects in overdraft status; develop purchase order contracts for on-call and/or project specific engineering inspection services; review purchase order invoices for accuracy, process for approval, and process payments; maintain monthly project checklist to ensure all Division 9 projects are in concurrence with budget requirements; maintain accurate staffing records for all Division Construction Units, perform office administration duties for the Division Construction Engineer that include but not limited to establishing/creating Division Office files for projects assigned to Division 9 (current/future), filing project correspondence, scheduling, and documenting preconstruction conferences along with preliminary field Inspection conferences; and other duties as assigned by the Division Construction Engineer. Knowledge, Skills and Abilities / Competencies

+ Experience with Microsoft Office using programs such as Access, Word, and Excel
+ Experience completing and/or maintaining records and reports
+ Experience interpreting and/or explaining policies, procedures and laws
+ Data entry experience entering and extracting information from a mainframe database or web based
Additional Expectations:
Fluent in Microsoft Word, Excel, PowerPoint, and Outlook Exchange. Ability to perform simple mathematical functions (addition, subtraction, multiplication, division and percentages). Ability to effectively and efficiently communicate with all Division Construction Unit Staff to ensure goals and task are completed with guidelines and specified time frames. The selected applicant will be expected to safely and legally operate a motor vehicle.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
