HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:

Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

The AA will serve as an integral member of the Group's Support Branch

The AA will function as the travel team lead providing guidance to the other members of the team on process and best practices, using their experience to guide team members to solutions to problems, answering substantive travel policy questions from customers, and flagging major issues to management

While team members are only responsible for their specific Area of Responsibility (AOR), this AA will be responsible for tracking requirements across all AoRs

The travel team is responsible for completing, overseeing, coordinating, and monitoring task completion of group travel functions to include reservations, travel authorization request, vouchers, and passports/visas

The AA will submit and/or review on Sponsor Travel System requests processed by the group, checking for validity and compliance with both Sponsor Regulations and IC contract requirements

The AA will track, monitor, and follow up on ongoing travel requests to ensure they are processed in a timely manner

The AA will maintain and expand a network of professional contacts and working relationships with personnel from other units within the Agency, to include but not limited to customer approvers, center finance teams, and SATO to influence work outcomes and accomplish duties

The AA will respond directly to inquiries when appropriate, or take action to facilitate resolution of a range of inquiries and concerns related to the travel functions of the branch

The AA will review correspondence and other documents to determine if questions or concerns from the ICs and customers are adequately addressed

The AA will train and guide other contractors responsible for travel planning to instill best administrative practices, foster an understanding of the rationale for processes and procedures, and enable delivery of high-quality support

The AA will manage day-to-day office operations and seek to improve office workflow. The AA will be expected to work independently and as part of a team

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active TS/SCI with Polygraph security clearance

HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

Core Hours are 8:00am- 2:00pm

Proficient Word, Excel, Outlook, PowerPoint

Able to perform duties with minimal supervision and some team interaction

This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
