HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant IV, your day-to-day responsibilities will include:
The Administrative Assistant (AA) will be the sole administrative assistant for the two offices. The AA position requires a strong level of autonomy, pro-activeness, and the ability to use sound judgement to make independent decisions following broad or detailed guidance and direction
A majority of the work performed is transactional in nature in a dynamic work environment
This position is customer facing where routine interaction with line officers, supervisors and managers within and beyond the Divisions, to include the Front Office level is expected
This position is part of one or more enterprise service specialists' teams, working with one or more Executive Officers (EXOs) and will back-up EXOs on facilities, IT, space, HR, and task management duties
Strong oral and written communication skills and the ability to apply attention to detail to tasks are required to accurately convey administrative and mission related information
The position may require lifting up to 50 pounds of material and moving collapsible partitions between conference rooms. Travel to other building withing the WMA via POV is occasionally required
The Administrative Assistant IV is expected to be proficient in the Microsoft Office suite (Word, Excel, Outlook, and PowerPoint) and familiar with using a browser
It is strongly preferred that they be familiar with internal memo software, employee access system, asset tracking software, visitor access system, internal time and attendance, travel and reimbursement systems, and supply ordering software
The AA IV is called upon regularly from other users for guidance
The candidate is preferred to have an Intermediate proficiency with the following: Microsoft Office suite with a focus on Outlook, familiarity with using a web browser, internal training system (e.g MyTraining, etc), internal system access (e.g. sponsor access training system, enterprise entitlement management, etc), visitor access software (e.g. sponsor visitor request system, etc), travel and voucher systems (e.g. sponsor travel systems, etc), purchase prder system (e.g. sponsor asset tracking software, sponsor estimating tool, etc), Skype - User. VTC Equipment, Sponsor office supply ordering system, Sponsor room requeset system, Sponsor Timekeeping system, Sponsor memo system, Sponsor messaging system, Tasklt
The Administrative Assistant will be provided training on sponsor systems/programs that they are not familiar with
The AA will play a central role in on-boarding and off-boarding personnel
This includes facilitating access to and timely removal from shared drives, maintaining email aliases, vault access, phone trees, and various other administrative aspects
The AA will also be responsible for scheduling, facilitating, preparing visitor requests, and escorting visitors when it is occasionally required
This includes passing and receiving clearances, preparing visitor requests and access lists as necessary.
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active TS/SCI with Polygraph security clearance
HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
Core work hours are 8:00 AM - 4:00 PM Mondays through Fridays, but the actual duty day is flexible and will be adjusted as mission requires
Proficient Word, Excel, Outlook, PowerPoint
Able to perform duties with minimal supervision and some team interaction
This position is on customer site

The likely salary range for this position is $107,432 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.Scheduled Weekly Hours:
