The Administrative Supervisor is responsible for overseeing the day-to-day administrative operations of the Fort Lauderdale office (FLO) together with the Office Partner In-charge (OPIC) to ensure organizational effectiveness and efficiency. The individual will also liaison with other PKFOD departments ensuring a seamless flow of information and resources. Duties include but are not limited to:
ESSENTIAL DUTIES:
Administrative Management
Front Desk Management: Oversee the daily operations of the reception area including, managing incoming calls, directing visitors, and handling inquiries in a timely manner. This also includes serving as an effective communication hub for the office, providing excellent customer service to visitors, clients, and staff. Office Administration: Oversee day-to-day administrative tasks, including managing office supplies, equipment, and facilities. Scheduling and Coordination: Manage calendars, schedule meetings, and coordinate events for senior management and cross-functional teams. Document Management: Maintain and organize company documents, records, and files to ensure easy access and compliance with legal requirements. Vendor Management: Handle relationships with external vendors, including negotiating contracts, managing service agreements and liaison with PKFOD finance department to ensure timely payments.Business Development Support
Market Research: Collaborate with the Partners and business development team to conduct market research, identify opportunities, and analyze industry trends. Strategy Development: Assist in developing business development strategies to expand the firm's market presence and drive growth. Client Relations: Support the Partners in managing client relationships and attend networking events. CRM System Management: Use of CRM systems to manage customer data, track interactions, and optimize customer engagement strategies.Communications Coordination
Human Resources: Work together with HR recruiters to facilitate both Campus & Experienced hire recruitment processes and onboarding new team members. Collaborate with HR to coordinate firmwide/local office events. Information Technology (IT): Work with IT to ensure it is supporting operational needs as well as timely resolution of technical issues to minimize downtime. Marketing: Collaborate with the marketing leadership team ensuring marketing materials and events are appropriately planned and executed.QUALIFICATIONS:
BA/BS degree in Business Administration, Management or related field from an accredited college/university required. 5+ years’ experience in a supervisory/managerial or administrative role. Experience working in a public accounting or professional services firm preferred. Proficiency in office software, including Outlook, Teams, Adobe, MS Office Suite (Word, Excel, PowerPoint). CRM system experience a plus. Strong leadership, organizational, and time management skills. Excellent written and verbal communication skills. Ability to work independently and as part of a team. Detail-oriented with a commitment to accuracy. Ability to multitask and prioritize tasks effectively. Professionalism and strong interpersonal skills. Strong problem-solving skills.
