Administrative Support Assistant
Summary This position serves as an Administrative Support Assistant in the Division of Field Support, Vale District Office in Baker City, OR or Salem, OR. Salary Ranges: Baker City, OR: GS-05: $39,576 - $51,446 per year; GS-06: $44,117 - $57,354 per year; GS-07: $49,025 - $63,733 per year Salem, OR: GS-05: $42,571 - $55,339 per year; GS-06: $47,455 - $61,694 per year; GS-07: $52,734 - $68,556 per year Responsibilities Duties will be developmental in nature when filled below the full performance level. Promotion to the full performance level is neither guaranteed nor implied and will be based solely on your ability to satisfactorily perform the work of the position, existing work at the higher grade level, and recommendation by the position's supervisor. As the Administrative Support Assistant, the incumbent will be assisting the Baker Field Office and National Historic Oregon Trail Interpretive Center (NHOTIC) or the Cascades Field Office with administrative duties such as Quicktime, Correspondence, CBS and Billing, and Concur. The incumbent will also be a liaison of sorts between the two Baker offices and the Main District Office in Vale or between the Cascades Field Office and the Northwest Oregon District Office in Salem to ensure the office's administrative needs are being taken care of timely and appropriately. Finally, the incumbent will provide assistance in the completion of records reviews, inventories, and dispositions in accordance with records schedule. Prepare necessary documentation and coordinate the transfer of prescribed records to the Federal Records Center for the office. Resolves issues related to missing materials and filing errors. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the experience and/or education requirements described below. Your resume must clearly describe your relevant experience. If qualifying based on education, a copy of your unofficial transcripts must be provided with your application. MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you have the required specialized experience and/or education for the respective grade level in which you are applying. Specialized Experience for GS-05: Have one (1) full year of specialized experience comparable in scope and responsibility to the GS-04 grade level in the Federal service (obtained either in the private or public sectors) performing at least 2 of the following: (1) Processing recurring or standardized transactions in an automated system; (2) Maintaining documents and files; and (3) Providing assistance on procedural matters. OR Education for GS-05: Have successfully completed 4 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. Note: This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. You must submit transcripts. OR Combination of Education/Experience for GS-05: Have successfully completed education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement AND have experience as defined in the Specialized Experience statement above. Note: One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Add the percentages of your creditable education/experience together. The total must equal at least 100 percent to qualify. You must submit transcripts. Specialized Experience for GS-06: Have one (1) full year of specialized experience comparable in scope and responsibility to the GS-05 grade level in the Federal service (obtained either in the private or public sectors) performing at least 3 of the following: (1) Procuring and distributing supplies, services, and equipment; (2) Utilizing computer programs to input, maintain and retrieve information from automated applications/data systems including travel authorizations and vouchers, and/or time/attendance records; (3) Maintaining filing systems to provide assistance in researching and locating files; and (4) Consolidating information into summaries and/or reports, charts, graphs, or other documents. Specialized Experience for GS-07: Have one (1) full year of specialized experience comparable in scope and responsibility to the GS-06 grade level in the Federal service (obtained either in the private or public sectors) performing at least 4 of the following: (1) Assisting with budget development for multiple accounts with various sub-activities and/or funding sources; (2) Monitoring and tracking obligations and expenditures throughout a budget execution phase; (3) Procuring and distributing supplies, services, and equipment; (4) Utilizing computer programs to input, maintain and retrieve information from automated applications/data systems including travel authorizations and vouchers, and/or time/attendance records; and (5) Reviewing data to consolidate information into summaries and/or reports, charts, graphs, or other documents. TIME-IN-GRADE REQUIREMENTS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-5 is required to meet the time-in-grade requirements for the GS-6 level; and one year at the GS-6 is required to meet the time-in-grade requirements for the GS-7 level. (You must submit your SF-50 that shows Time-in-Grade eligibility and reflects your title, series, and grade. No award SF-50 will be accepted). Additional Information Any individual who is currently holding, or has held within the previous 52 weeks, a General Schedule position under non-temporary appointment in the competitive or excepted service, must meet time-in-grade requirements (must have served 52 weeks at the next lower grade or equivalent in the Federal service). Time-in-grade requirements must be met by the closing date of this announcement. Physical Demands: The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. The incumbent may frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials. Working Conditions: Work is typically located in an adequately lighted, heated, and ventilated office environment. The work environment may involve everyday risks or discomforts that require normal safety precautions typical of such places as offices, mail distribution centers, meeting and training rooms, libraries, or motor vehicles.
