Primary Purpose of the Organizational Unit The Office of the Provost is the central administrative unit that supports all entities within the divisions of Academic Affairs, Student Affairs, and Research & Engagement. The Office embraces shared governance and works in an open and transparent manner, fostering a collaborative environment where institutionally minded colleagues strive to advance each other’s work. We engage thoughtfully and collegially across all divisions of the University and represent the institution effectively to external partners. Our central purpose is to provide administrative leadership that facilitates the success of all UNCG faculty, staff, and students, while strengthening human capital in the Triad, state, and beyond by promoting excellence in research, creative activities, and educational programming that addresses societal needs. Position Summary The Administrative Support Associate will provide essential support to both the Faculty Senate and the Office of the Provost, dedicating 50% of their time to each. In the Office of the Provost, they will perform receptionist duties, manage communications, assist with calendar and event planning, and support Faculty Personnel Services and Academic Resources projects. For the Faculty Senate, they will organize meetings and events, manage budgets and committee rosters, update the website, and handle various administrative tasks. Minimum Qualifications HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK. Additional Required Certifications, Licensures, and Certificates Preferred Qualifications Associate’s degree; or equivalent combination of training and experience degrees must be received from appropriately accredited institutions. One-two years relevant work experience, preferably in a higher education/university setting. Essential Tasks Front office administrative duties. Greeting visitors to office, direct to appropriate person, serving as model for professional, positive interactions for the Provost’s Office as a first point of contact. Provides support to all visitors seeking information and meetings with department staff. Answer main office telephone. Process incoming and outgoing mail. Provide assistance to the Executive Assistant in support of the Provost and Senior Vice Provost as well as additional staff as needed. Maintains professional aesthetic for Provost’s Office by maintaining organized and clean general office space. Take initiative when problems arise that need innovative solutions. Essential Tasks Facilitates scheduling and set up of all Faculty Senate related meetings and events. This includes providing administrative support to the Faculty Senate Chair, creating room reservations, arranging catering, ensuring agendas, minutes and meeting recordings are posted and shared publicly. Communicating with meeting attendees via email, text, phone, chat, etc. Works with chair to maintain all senate rosters, including committees and communicates to senate regarding important matters. Communicating with election officers regarding elections and deadlines; collaborating with election officers regarding needed updates and refinements to rosters. Budget planning, facilitate processing and payment of invoices; oversee completion of appropriate paperwork as needed; oversee reimbursement of expenses. Coordinating transportation and travel for Senators. Coordination of all files, technology, office and digital spaces. Assist and support senate leadership in identifying and solving problems. Key Responsibility Provides event planning support for the Office of the Provost Essential Tasks Assist at events hosted by the Provost’s Office. Prepares flyers, invitations, etc. Reserves rooms and arranges catering and parking accommodations.
Key Responsibility Completes other administrative tasks for the Office of the Provost as assigned
