Faculty Rank or Job Title Administrative Support Coordinator Job Category: Administrative (exempt/non-exempt) Department School of Finance, Accountancy, Management Information Systems and Economics EEO number: 24C300 Position FTE 100% Minimum Annual or Hourly Rate 15.05 Salary Band: CS 14 Job Summary/Basic Function: Under direction from immediate supervisor, provides various administrative support by maintaining, configuring, and analyzing confidential financial/academic databases, works on special projects (dept. publications, course documentation), prepares special correspondence and develops detailed (often complex) reports, may supervise students and/or staff. Ability to manage multiple tasks and set priorities. Analyzes, maintains, and monitors confidential academic and budgetary records and databases, generates standard and custom reports by analyzing source data, completes custom projects, provides work direction to students and staff, and as assigned oversees the day-to-day operation of the department. Performs administrative support work and/or lead responsibilities with notable accountability for the work results of support staff or department functions. Administrative work is typically operational or procedural in nature relating to the program, office, or projects. Work is often of a project nature and may require specialized knowledge. Typically, this classification is responsible for the full scope of project activities including initiation, execution, coordination, implementation, and evaluation. Implements and maintains databases to support administrative operations. Researches and gathers information, utilizes department or university policies, procedures, and practices to answer routine inquires or resolve problems based on precedents. Minimum Qualifications A high school diploma or GED and two years (FT) of related work experience OR, two years of post-secondary education and one year of (FT) related work experience OR, a bachelor’s degree in a related field. Experience in writing, editing, and budget management. Working knowledge and skills to utilize current office equipment and a variety of complex software packages. Preferred Qualifications Good interpersonal and human relations skills. Experience working with people from varied cultural backgrounds. Excellent verbal/communication skills. Essential Functions and percent of time: 40% Administrative Support Coordinates, maintains, and assumes responsibility for all department financial functions; including but not limited to -Prepare chrome river expenses and travel reports. Create orders in Wrightbuy system and manage process. Create supply orders. In cooperation with the Chair, balances budgets, reconciles financial data, interprets Banner reports and informs chair of overall status of budget. Maintains running balance, enters financial data and audit supply budgets. Generates reports upon request for various budgets. Initiates/completes documentation for adjunct/overload contracts. Completes Electronic Personal Action From (EPAF) for faculty. Acts as expert on university policies and procedures. Manages the office: answering questions and representing the program to incoming, prospective and current students, faculty, staff and the public. Assess need and respond accordingly based on those needs using independent judgment and sound decision making to solve issues. Manages appointment calendars for Chair. Coordinates faculty and committee meetings etc. Prepares routine and non-routine correspondence

Acts as primary liaison to physical plant, public safety, CaTS and other university departments and divisions.

30% Manages special projects such as:· Coordinates Student Scholarship awards: Processes scholarship awards for students in scholarship manager Processes payments for some scholarships through WrightBuy and/or Human Resources Provides Cognos data for specific student groups etc. Manages design, production, and updating of scholarship program Organizes the annual scholarships and awards luncheon to include contacting recipients, scholarship donors, and faculty Coordinates multiple advisory board meetings such as the field corporate advisory board meetings, including related student boards Coordinates specialized graduate orientation meetings (e.g. MIS and Economics) Coordinates special student travel and registration events Coordinates Graduate student quarterly residencies: Coordinates with event services, CaTS, career services, parking and transportation, and police department to ensure the event runs smoothly. Contacts faculty to gather information in order to prepare syllabi/schedule Contacts students regarding start of the program Attends and manages program during 3-day weekend each semester Essential Functions and percent of time (cont'd): 15% Data Analysis and Reporting Analyze, export and maintain database. Gather data needed for annual accreditation. Research and run Cognos/RAPS reports for various staff members and Chairs within the college . Promotes and/or communicates all aspects of the program by developing and distributing various materials. Updates marketing materials and websites.


15% Supervisor Hire/Train/Supervise student workers, create work schedules. Advise other staff, as needed. Independently address problems related to various interoffice issues and student concerns Proactively deal with a variety of problems that may or may not occur and determine specific action, in consultation with Chair
