Faculty Rank or Job Title Administrative Support Coordinator- CECS Job Category: Administrative (exempt/non-exempt) Department College of Eng & Computer Sci Admin EEO number: 25H042 Position FTE 100% Minimum Annual or Hourly Rate 15.05 Salary Band: CS 14 Job Summary/Basic Function: Provides various administrative support to the Dean and the College of Engineering and Computer Science, works on special projects, processes Graduate Research Assistant contracts, prepares special correspondence and develops detailed (often complex) reports, may supervise students and/or staff. Ability to manage multiple tasks and set priorities. Minimum Qualifications • High school diploma or GED and two years (FT) related work experience OR, two years of post-secondary education and one year of (FT) related work experience OR, a bachelor’s degree in a related field• Experience in writing, editing, and budget management• Ability to calculate basic math• Strong organizational skills, effective written and verbal communication skills, and able to prioritize critical tasks.• Ability to provide a high level of customer service through effective interactions, timely responses, and professional demeanor with a positive, supportive attitude.• Proficiency in standard PC software applications (word processing, spreadsheets, etc.)• Integrity and judgement necessary to maintain strict confidentiality at all times. • Process Graduate Teaching and Research Assistant Contracts
• Coordinate PhD programs
• Assist in Optional Practical Training (OPT) processing for international students
• Gather data and develop the draft Annual Research Report for Dean’s approval.
• Tracks the overall research budget for the college.
• Perform liaison activities with the Office of Research and Sponsored Programs

• Coordinate with the registrar’s office, advisors, and departments to send formal letters of college dismissals and honor roll
• Help plan and prepare for the honor society inductions and banquets, plan and host the Order of the Engineer ceremonies, orders ceremonial supplies as needed
• Help with commencement line up and student awards ceremonies
• Assist with CECS student club events and activities• Assist with faculty, staff, and student recognition awards by attending nomination process and planning meetings• Act as a liaison with relevant vendors, partner organizations, departments, and/or facilities and ensure event plans adhere to stipulated budget, specifications, policies, and standard procedures• Lead efforts for all event communication in collaboration with leadership and relevant departments
• Hire and direct student employees for front office coverage and other various projects
• Supervise student workers, delegate tasks and projects appropriate to their skills and abilities.Maintain college master calendar.

• Sort and respond to all email and correspondence to the generic college address(es).
• Provide administrative support to the Dean in scheduling, correspondence and event preparation.
• Oversee the college office reception area.
• Oversee conference room scheduling, key issuance.
• Make travel arrangements and complete university travel documents
• Coordinate with dean and director of development to organize and plan External Advisory Board Meetings, CECS faculty meetings, committee meetings as well as other high-level meetings on and off campus.
• Maintain appropriate records of meetings.
• Assist with faculty, staff, and student recognition awards by attending nomination process and planning meetings.
• Keep records pertaining to faculty promotion and tenure reviews,
• Maintain personnel files.Provide administrative assistance for the CECS Faculty Committees by collecting agenda items, managing historical records and minutes, moving action items to and from appropriate channels
Essential Functions and percent of time (cont'd): 20%
• Responsible for transactional level financial and personnel aspects of the college office operations, including purchase requests, supplies, procards, hiring, position posting, travel, dissemination of financial data.
• Help ensure compliance with Wright Way policy for financial and personnel activities
• Assist department staff with research expenditures and financial tracking as directed.
• Provide support and oversight to department budgets as requested.Analyze data for and develop College Annual Report.
