JOB DESCRIPTION AND POSITION REQUIREMENTS: We are searching for a highly experienced Administrative Professional who is proactive, team-oriented, and customer-service focused to join our Office of the Director at the Applied Research Laboratory (ARL) at Penn State. ARL’s purpose is to develop innovative solutions to challenging national problems in support of the Navy, DoD, and Intel communities engineering and technology needs. As the Administrative Support Manager, you will manage the administrative workload and workflow across the office to include setting priorities, improving efficiency, meeting deadlines, ensuring compliance, and supervising the Administrative Support Assistants. You will: + Manage, direct, and oversee general administrative functions and activities of ARL senior leadership + Perform complex, and confidential administrative duties and responsibilities in support of the office + Monitor human resources, security, IT, and facility processes and documentation to ensure deadlines are met + Be a point of contact for the office for facilities, human resource, IT, security, and other support departments + Lead and supervise the administrative staff including overseeing hiring, training, and evaluation of assigned support staff positions, setting the standard for professional behavior, effectively communicating roles and direction, and ensuring competency throughout the administrative ranks + Coordinate, prioritize and maintain schedule and calendar of meetings, appointments and special events for the office in multiple calendars across offices and including government sponsors + Support ARL Leadership in creating PowerPoint presentations as well as office memos, announcements, and internal publications + Assist with the preparation of classified presentations; handle incoming/outgoing mailings and documents + Review classified documents/presentations for correct markings in accordance with relevant guidelines + Serve as backup for the Executive Assistant as needed Minimally requires and Associate’s degree or higher and 8 years of related experience (includes 3 years of supervisor experience); or an equivalent combination of education and experience. Required skills and experience include: + Ability to obtain a government security clearance + SAP/Concur (or similar program) + Atlassian tools such as Confluence/Jira (or similar program) + Ability to support the office by having/developing a working knowledge of national security practices and procedures + Prior supervisory experience + Proficiency in Microsoft Office (PowerPoint, Word, Outlook, and Excel) + The ability to maintain confidentiality is essential along with the ability to work both independently and as a team member + Strong ability to multi-task and coordinate several projects simultaneously with the utmost attention to detail and high level of accuracy + Excellent communication, organization, and interpersonal skills Preferred skills and experience include: + SIMS (highly preferred) + Classified Control System (highly preferred) + Knowledge of Penn State University policies and procedures + Active government security clearance Your working location will be 100% on-site, located in State College, PA.
