Position Summary
The Administrator of Technical Operations Training Support reports to the Director of Technical Operations Training. The position is responsible for efficient execution of monthly training schedules while minimizing cost, maximizing training resources, and ensuring regulatory compliance. This includes the successful management of training records for all Tech Ops personnel.
This position has an estimated duration of 6-12 months. Note that no relocation assistance is available for this position.
Key Responsibilities
Validate completion of prerequisites prior to enrollment in training courses by cross-checking multiple, often conflicting sources, to make a final determination with a high degree of accuracy and integrity. Arrange any required training logistics, including making travel arrangements, deconflicting use of classrooms & training equipment, and updating stakeholders or any last minute changes to the training schedule. Provide general training support to include coordinating the creation, publishing, and dissemination of training schedules, forms, Gradesheets, and eLearning enrollment rosters. Enter data into multiple electronic databases, requiring extensive cleaning of raw data prior to uploading using excel enabled with macros, or manual typing. Update online course catalog for notification & distribution systems, utilizing web and SharePoint editing skills, outlook mail merges, and Smartsheet. Facilitate logistics required to support operation when qualification issues arise, coordinating with multiple departments on nights, weekends, and holidays to find accurate answers to time-critical questions. Research anyone with an unqualified status to ensure maximum number of operationally ready personnel by cross-referencing source data from MINT TMS, Trax, and paper grade sheets. Resolve compliance concerns received by gathering information from various stakeholders and drafting policy language to preventatively communicate any trends indicating a misinterpretation. Coordinate with external vendors (Amazon, Qantas, Air New Zealand, Japan Airlines, etc.) to standardize training records collection and input with a focus on reducing manual workarounds to incompatible formats and systems. Process paper files received in preparation for long term storage or conversion to electronic formats, requiring visual inspection, completeness review, organization by relevance, and filing. Communicate any discrepancies identified with training records in a timely manner, exercising discretion when to elevate to leadership, and reporting to FAA when required. Report metrics & KPIs to key stakeholders, regulatory agencies, and external departments. Correct any and all known errors by working closely with instructors, students, and management effectively to identify root causes. Support all internal, federal, and international audits (DOD, IOSA, TSA, etc.) by providing documentation and explanations as requested. Create employee profiles in training systems, including special handling of sensitive human resource data (PII), setting up electronic integrations feeds between MINT, Ultipro, Pelesys, Trax, and other systems. High school diploma or equivalent education 2 years’ administrative support experience Demonstrated competence in Microsoft Word, Excel, PowerPoint, Teams, OneNote, Access, SharePoint, Outlook and Smartsheet. Demonstrated ability to learn new computer software programs quickly, becoming proficient in complex computer software programs with minimal training. Customer service experience requiring excellent oral, written, and telephone communication skills Highly organized with strong attention to detail Ability to manage multiple high-visibility projects within an environment with strict deadlines and changing priorities. Proven ability to critically evaluate problems, identify risks, and produce solutions that result in positive outcomes. Ability to work flexible schedule on weekend/evenings, when necessary**Hawaiian Airlines is regulated by the Department of Transportation (DOT - regulation, 49 CFR part 40) and all applicants are advised that post-offer and/or pre-employment drug testing will be conducted to determine the presence of Marijuana, Cocaine, Opioids, PCP (Phencyclidine), and Amphetamine prior to any offer of employment or transfer into a safety-sensitive position. Please note that the provided salary information serves as a general guideline. Our salary is determined by a candidate's experience and qualifications as well as market and business considerations. The expected pay range is $51,800 - $65,100.
Preferred Qualifications
Bachelor’s Degree in a relevant field or an equivalent combination of education and related working experience. Extensive hands-on experience and knowledge of training management systems, preferably MINT. General familiarity with crew management & qualification systems, preferably Trax. Knowledge of FAA and other regulatory requirements 1 year of management experience at an airline 2 years of administrative experience at an airline
