Job Description

The Customer Service Specialist acts as the primary customer point of contact in a manner that maximizes customer satisfaction. This role is responsible for order entry and management, understanding product flow, backorder management, processing returns and credits, processing service requests including preventative maintenance (PMs) and repairs, and partnering cross-functionally to operate customer service for both U.S. and International sales. Additionally, this person will take on responsibilities of the Shipping & Receiving Specialist, working with operations staff to provide support in the areas of order fulfillment, shipping and receiving, inventory management, general operations, and independent project work.

ResponsibilitiesAccurately enter manual orders to support customer requests, including the recording of detailed information about the order.Partner with sales management to draft, propose, and provide quotes to customers.Propose the purchase of service plans to customers when consoles are sold, where appropriate.Answer incoming inquiries in a professional, courteous, and efficient manner.Handle all incoming issues, resolving them or assigning tasks to the appropriate team within Customer Service/fulfillment or other internal team members.Anticipate and mitigate any issues before they can negatively impact the customer experience.Triage issues and ensure timely resolution.Proactively communicate surfaced issues to the customer to address and resolve them as quickly as possible.Communicate updates of order lines/order issues to customers effectively and timely.Understand and prioritize incoming requests using in-depth knowledge of critical and customer-specific needs.Adjust customer order quantities within the Enterprise Resource Program (ERP) to properly reflect the flow of goods.Collaborate with various supply chain touchpoints (distribution centers, transportation companies, etc.) to research item status for all work assigned to prevent customer order issues.Process credits, re-ships, and returns.Assist in identifying and implementing continuous improvement/department efficiencies, including updating and developing Standard Operating Procedures (SOPs) and process documents.Partner with internal teammates on leasing products and warranties.Collaborate cross-functionally with sales, marketing, finance, legal, operations, and quality teammates.Respond and communicate directly with customers on all order management service requests.Essential SkillsHigh School Diploma or GED2 or more years of relevant experience (Customer Service, Order Management, and/or Shipping & Receiving)Ability to lift up to 50lbsAdditional Skills & QualificationsBachelor’s degree preferred.Proven customer service experience in medical device, healthcare, or a regulated environment preferred.MS Office required; Great Plains experience preferredCritical thinking skills preferred, demonstrated by making accurate decisions at the time of discovery while also recognizing when additional input is needed from other internal partners.Customer-service oriented with excellent listening, problem solving, analysis, and conflict resolution skills.Ability to work under pressure.Ability to work independently - self-directed and able to work without supervision - and as part of a team.Energetic and eager to tackle new projects and ideas.Work Environment

- 8am-4:30pm, onsite, business casual dress code with flexible start and end times depending on workload\n- Office setting 75%, labeling/order entry in warehouse 25%

Pay and Benefits

The pay range for this position is $26.50 - $28.85/hr.
