This role will be responsible for supporting a variety of office-based administrative needs, including activities that are time-sensitive and important, for the Legal department, particularly in support of maintaining the Department’s processes, documents, agreements, files, and matter management needs in an efficient and effective manner. Day to day administrative support includes: preparing routine correspondence and mailing; processing outgoing and incoming mail for the department, scanning/copying of documents, coordinating proper execution and notarization of documents via paper and/or electronic needs ensuring final copies are distributed to appropriate parties and maintained in appropriate filing systems; retrieval of physical and electronic files and records; support attorneys with business travel and related expense reporting; monitor generic legal department email boxes, phone calls, and other general inquiries that come to the Legal Department from time to time and redirect those inquiries as appropriate to facilitate resolution.
This role requires the ability to manage, organize and perform a variety of activities simultaneously (i.e., multi-task); the desire and ability to learn and consistently execute processes in a timely and consistent manner; the desire and ability to interact and effectively communicate with a variety of people, including utilizing remote tools, and an ability to support the Legal Department on matters that may require particular sensitivity, such as time deadlines and working with confidential information.
ResponsibilitiesProcess outgoing and incoming mail for the Legal Department, ensuring timely notification and distribution of incoming mail to appropriate recipients (designated by subject matter), forwarding mail to other departments, and assisting with preparation of outgoing mail and packages.
Prepare form letters, update and maintain form response templates and prepare and send responses based on templates with review and approval by appropriate department contact.
Monitor legal department generic email boxes and distribute messages to appropriate recipients for further handling as appropriate. Administer template responses for common matter types.
Provide customer service level support for internal and external stakeholders on behalf of the legal department as needed, including intake of inquiries/concerns, using available resources to identify department contacts to help with any response or follow up, update and maintain template responses for common inquiries/issues, and prepare and send responses based on templates with review and approval by appropriate department contact.
Assist with execution process, including notarizing, witnessing, securing physical signatures on paper documents and administering DocuSign process on behalf of Legal Department, in accordance with applicable Company policies and instructions. Ensure final executed copies of contracts are distributed to appropriate parties and saved consistent with retention requirements and using Legal Department systems and procedures. Work with Accounting to complete process, gather documentation and complete forms to initiate payments related to contracts as needed, including, vendor set up, settlement checks and wire requests.Provide administrative support to attorneys in the Legal Department matters involving outside spend. This includes distribution of engagement letters and billing guidelines, setting up new matters in Serengeti/Tracker, updating matter profiles, information and/or billing details, supporting attorneys in responding to payment inquiries from law firms and other billing entities, running reports or pulling information from matter management system as needed, and gathering information for budgeting and forecasting.
Assist attorneys in the Legal Department with business travel and related expense reporting, in accordance with Company policies. Provide administrative support for onsite meetings being led by the Legal Department and assist LLT with coordination and scheduling of other meetings initiated by the LLT member and involving 4 or more participants. Maintaining legal department conference rooms, supplies and setting up for meetings as needed, including AV connections and support.
Manage all activities associated with initial intake and processing of various dispute and litigation matters, including pleadings, claims, agency filings, subpoenas, and informal complaints received via one of the Company’s various reporting channels using the Legal Department’s matter management system; manage service of process acknowledgment process with Company’s registered agent for service of process. Manage, organize and maintain all aspects of the electronic and physical filing systems for the Real Estate and Litigation & Employment team. Ensure files are maintained consistent with the retention requirements of the Legal Department. Provide backup support to other business support staff in Legal Department; perform other job-related duties as may be requested from time to time.
