The N924 Strategic Integration Department is seeking a Department Administrator & Operations Coordinator position for our department and leadership team. N924 supports a fast-paced, multi-agency mission focused on the intersection of national security and intelligence. This position offers the opportunity to dive into complex and rewarding work with high visibility sponsors by supporting our project teams that build and improve solutions at the forefront of national security. The administrator / coordinator proactively engages with the Department Manager, Chief Engineer, Group Leaders and Project Leaders to support various requirements across the department, promote best practices and coordinate outreach and engagement with sponsors. Successful candidates will bring a strong background in planning, communications and a familiarity with business operations. The candidate needs to be adaptable and agile, working side-by-side with MITRE staff, and members from the Intelligence Community. 

Basic Qualifications:

Requires a minimum of 1 year of related experience with a High School Diploma or equivalent in education, or equivalent combination of high school courses and related work experience. Active TS/ clearanceImpeccable attention to detailExcellent written and verbal communicationDesire to contribute to MITRE’s support to the intelligence communityResponsive to requests for immediate support, which can require visiting Government sites located in Northern Virginia and Downtown Washington, D.C.Maintain calendars, meetings, and schedulesTrack action items and suspense dates for corporate, center, division, department, and site mattersMaintain and manage the Department Manager’s (DM) schedule, which requires the ability to prioritize the DM’s requirements, commitments, and requests for meetingsProvide administrative and logistics support to department personnelPlan and organize meetings, conferences, and events, to include coordinating supporting services (facility reservation, audio/visual support, catering, security, etc.)Lead the N920 PET TeamManage business travel for DM and other department staff using MITRE’s travel and expense systemAssemble background materials for meetings and briefings; assist in compiling, posting, and electronically organizing & archiving such information, as necessaryArrange for office moves and manage division property and audit trackingMaintain and order department office suppliesTrack and purchase items with budget updatesReconcile the Department MITRE Purchase Card monthlyManage logistics associated with on-site candidate interviews for department positions, including room reservations and interview panel schedulingWork collaboratively with the other department and division administratorsRun/monitor personnel planning reports and act as back-up/proxy for DM Workday processesCompose correspondence as requiredMonitor department absences and time reports, patch updates, mandatory trainingAssemble packages for new employees and arrange for their arrivalExercise discretion regarding sensitive information at all levels both internally and externallyUpdate and maintain department SharePoint SiteMaintain a high level of communication with managers/staff.This position requires a minimum of 4 days a week on-site.

Experience using tools that assist with resource tracking and projections (i.e., Clarity PPM)Expertise using ExcelExperience supporting business operations, including functions such as hiring, staffing, budgeting, and projecting financial estimates.Experience working with invoices / billing departments to ensure accuracyThe ability to organize, create, and manage SharePoint sitesConcur Travel and Expense experiencePrevious experience with graphic design
