Description We are offering a short term contract employment opportunity for an Administrative Assistant in the education industry based in Los Angeles, California. As an Administrative Assistant, your role will encompass several responsibilities including reviewing applications, handling admissions, managing workflows to meet deadlines, maintaining up-to-date knowledge of multiple data systems, and ensuring efficient processing of student information. Responsibilities: • Conduct rigorous review of applications as per the established guidelines. • Evaluate transcripts initially during the admission process. • Collaborate with team members for tracking application review progress and ensuring timely decision making. • Ensure admission decisions are communicated efficiently to the relevant team members and reflected in all necessary systems. • Act as a liaison with external partners for timely communication of application decisions. • Regularly communicate with the manager about the quality of applicants and the progress of applications. • Suggest improvements for application review rubrics and processes in consultation with team members and administrators. • Assist in organizing school wide events like orientation and graduation. • Maintain applicant files across all relevant systems. • Process admitted students in the systems, ensure quality control by verifying official documents, and respond to inquiries regarding admission application process and status. • Uphold the mission of the University through the work performed. Requirements • Possession of basic office skills, including but not limited to filing, typing, and managing correspondence. • Proficiency in Microsoft Excel, with the ability to create spreadsheets, manage data, and use advanced formulas. • Previous experience in an administrative role within the education sector is highly desirable. • Excellent interpersonal skills, with the ability to communicate effectively with staff, students, and parents. • Ability to multitask, manage time effectively, and meet deadlines in a fast-paced environment. • Strong organizational skills, with a keen attention to detail. • Ability to handle confidential and sensitive information with discretion. • Demonstrated problem-solving skills with a proactive approach. • High school diploma or equivalent; higher degree in a related field would be a plus. • Fluency in English, both written and spoken; knowledge of another language would be an advantage.
