Advancement Coordinator, UVA Health Children’s

The UVA Health Development seeks an Advancement Coordinator, UVA Health Children’s to join our collaborative, high-achieving, and enthusiastic team. The Advancement Coordinator will play a key role in expanding the scope and enhancing the impact of the UVA Health Children’s fundraising program.

As a member of the UVA Health Children’s development team, the Advancement Coordinator will help engage community members, friends, and patient families in support of UVA Health Children’s priorities. He or she will support and speed the work of the UVA Health Children’s fundraising team by providing administrative support to our team of frontline fundraisers, tracking campaign fundraising and performance metrics, and managing special projects.

Administrative support for the UVA Health Children’s fundraising team may include: scheduling virtual and in-person meetings with internal and external stakeholders and preparation of collateral materials ; arrange travel and process expense reimbursements; draft minutes; develop understanding and ability to run a variety of reports from the UVA donor databases; perform prospect research; provide event and board meeting support; provide communications support for donor engagement; and other tasks as assigned.

The Advancement Coordinator will ensure that our outreach to donors and grateful family prospects is prioritized, coordinated, and fully compliant with patient privacy law. He/she/they will support our programs to engage volunteers, faculty, and clinician partners in philanthropy, track campaign fundraising and performance metrics, and coordinate with other UVA Health Foundation or University Advancement colleagues, and other constituents.

The ideal candidate will have a track record of success in managing projects, demonstrated success in working with diverse constituencies of people, outstanding organizational and communication skills, and the ability to work with databases and organize/analyze data and information. They will be able to pivot easily between independent project work and collaborations with a supervisor and/or team. Ultimately, they will be a strong fit for a mission-driven, fast-paced, highly organized team.

The UVA Health Development Office operates within a distributed teams model for work, offering a flexible and hybrid work space. While this position is based in Charlottesville, VA, qualified candidates will be considered who live within a reasonable driving distance of Charlottesville with the expectation that they would travel to Charlottesville frequently and as needed for meetings, vendor meetings, and events. All team members must have access to and maintain a secure home office environment with high-speed internet service and work collaboratively with others using a variety of technologies and tools. Shared office space is available to staff in Charlottesville, VA.

Responsibilities:

UVA Health Children’s Program Support Support and speed the work of the UVA Health Children’s development team by providing administrative support to the Director of Development, the Associate Director of Development, and the Associate Director of Development, Children’s Miracle Network Hospitals (CMNH) and Corporate Philanthropy.Strategize with the Director of Development and support their efforts to raise major gifts for UVA Health Children’s priorities.Provide administrative support to cultivate the collaborative work of our CMNH, local, and corporate partners, including but not limited to event preparation and day-of staffing, preparing mailed solicitations and acknowledgments, and data entry and analysis.Partner with Annual Giving to complete annual giving solicitations and efforts including the Children’s annual Week of Giving.Provide assistance and support for UVA Health Children’s major and smaller-scale fundraising events, including but not limited to scheduling meetings and interacting with volunteers; creating and updating guest and sponsor lists; tracking income; tracking RSVPs; day-of staffing; processing payments to vendors; and post-event reporting.Serve as liaison to donors, volunteers, board members, and external organizations; field inquiries and guide how to make a gift (financial or in-kind), how to volunteer or visit the hospital as a special guest, or hold a third-party event to benefit UVA Health.Assist with the preparation of appropriate fundraising campaign and presentation materials.Collect and maintain an internal list of news articles and communications materials highlighting relevant UVA Health Children’s priorities, such as UVA Today articles featuring pediatric research discoveries or patient care programs.Special projects as assigned (e.g. in partnership with University Advancement, HSDO Communications, or HSDO Donor Relations).

Administrative Support for UVA Health Children’s Development OfficersSchedule meetings for frontline fundraisers with internal colleagues, donors, faculty and physician partners, and CMNH/local/corporate partners and volunteers; organize and confirm meeting logistics; and prepare agendas and supporting materials, including briefings, patient prospect lists, reports, etc.Provide support as needed for prospect/donor visits with faculty and leadership.Assist frontline fundraising team in timely follow-up to visits, including completing contact reports, proposals, thank you letters, processing correspondence, and filing documentation in the OnBase electronic filing system.Communicate professionally and assist team members in ensuring timely responses to inquiries and requests for information from HSDO leadership, faculty, volunteers, donors, and community members.Compile team meeting agendas and lead and facilitate weekly team meetings.Complete expense reports in Workday for all children’s development team members.Set up and confirm travel arrangements using Travel UVA, hotel accommodations, and car rentals. Assist with reimbursements using Workday.Provide general office support and partner with colleagues on larger-scale projects as needed, such as ordering UVA Health Children’s promotional items.Other duties as assigned.

Prospecting and Pipeline Development for UVA Health Children’s Edit the Children’s weekly giving report, and research donors using Advance and Ever True.Generate reports and prospect lists, and conduct general prospect management and research using Advance, Ever True, Advance Performance, Tableau, and the Grateful Patient Portal (patient database). Manage information on patient donors and prospects in full compliance with HIPAA patient privacy law.Utilize Tableau and Advance databases to identify potential donors within the alumni, parents, and friend constituent base; perform prospect research on potential donors using web and CRM tools.Assist frontline fundraisers in managing prospect discovery work and prospect lists.Assist frontline fundraisers with portfolio management and moves management for prospects and donors, using the Grateful Patient Portal, Advance, and Ever True.Input information into databases, including Ever True, Advance, and the Grateful Patient Portal. Update team proposals in Ever True as needed.

Anticipated Hiring Range: $50K - $54K commensurate with education and experience. This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
