What You'll Do

The Allied Health Intermediate Supervisor for the Cardiovascular Frankel Center Ambulatory Care (FCVC) Unit (ACU) reports to the Administrative Manager Intermediate of FCVC clinic and partners with the manager to effectively oversee operations of the FCVC.  

This position has dedicated effort to provide administrative leadership and operations management to the FCVC ACU which a complex outpatient clinic. Additionally, dedicated effort will be provided to guide, implement and support service line operational initiatives at Michigan Medicine. This is a working supervisor position that involves day to day operations oversight of clerical teams and template management for the CVC outpatient clinic.

(1) Care Delivery

Implementation of care models, that support clinic operations supported by guidelines and standards of practice at the ACU levelIdentification non-provider staff complement at the clinic/ACU Review productivity data to identify potential revisions for staffing modelsOversee and regularly analyze clinic workflow optimization for clerical functions that support clinical operations, including but not limited to; referral management, scheduling, lab reminders, fax management, facilitating provider letters, clerical staff interface with providers and call management.Pilot new care models to support UMMG goals in striving to achieve value-based care delivery to populations.Supports template editing with coordinated hand-off to contact center and/or supporting clerical teams to support rescheduling efforts

(2) ACU Operations

Supervision and direction given to operational administrative teams and engagement in their professional developmentOversees day-to-day operations of the clerical functions of the ACUEnsures regulatory compliance with CMS, JC, CLIA, and other regulatory agencies as applicableLeads onboarding of new support staff to the clinicHandles hiring/discipline and termination of clerical staff in their respective clinicEvaluates clinical support and admin staff in collaboration with the triad leadership teamProvides feedback on operational issues involving providers in the ACUManages routine operations (e.g., scheduling, referral management, template editing, etc.)Provides feedback/supervision/support/performance evaluation of assigned ACU staffDevelop and oversee efforts to recognize and incentivize staff excellenceIdentify opportunities for quality improvement, and carry forward quality improvement, in all areas of ACU operations

(3) Collaboration with Centralized Support Services

Collaborate with IT and Cadence for required support services at the ACU levelWorks regularly with support services functions to ensure operational goals are met

(4) Patient Care

Develop and oversee policies to ensure patient satisfaction including analysis of patient and family feedback and corresponding action plan development and implementationAddress and follow-through with patient/family feedback and complaints including implementation and ongoing evaluation of appropriate process improvementsOversee policies to ensure safety within the ACU (including physical structure, staff emergency readiness, etc.) Collaborate with Local CVC Triad to review incident reports and ensure appropriate follow-up

(5) Clinical Performance 

Establish performance goals with ACU in alignment with UMMG goals Resolves clerical and operational problems at the ACU level

(6) Operational and Financial Performance

Communicate performance metrics regularly staff in the clinicSupport Administrative manager in the monitoring of operational and financial performance metrics at the ACU levelIn collaboration with triad leadership, establish ACU level financial plan for upcoming yearPrepare, monitor, manage billing and other fiscal activities including the monitoring of charges and collections, charge reconciliation, monitor and reduce write offs due to lack of prior auths/billing limits and initiate corrective action when require

Regularly review ACU processes to ensure on-going compliance with institutional goals, objectives, policies, standards and guidelinesEvaluates supporting function operations, identifying areas for improvement Identify, communicate, share, and present operational, performance, and best practices to providers, staff, and leadershipAttend and provide leadership within the ACU Leadership and Site Leadership MeetingsFoster a collaborative environment by nurturing team-based care in a positive collegial and professional manner.Develop and communicate interpretation of Michigan Medicine/UMMG/ACS policies to staff, faculty and outside agencies/groups as neededParticipate actively and provide data, action planning and other administrative leadership at weekly and monthly meetings.Required Qualifications*Associate's degree in a related health science or an equivalent combination of education and

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
