I. Major Responsibilities:
1. In collaboration with Manager Ambulatory Operations, directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. Participates and contributes to any required documentation regarding these activities. Resolves grievances and other personnel problems within position responsibilities.
2. Monitors workflow and productivity to evaluate clerical and clinic support staff performance. Takes corrective action to ensure the efficient and effective workflow. Works closely with Manager Ambulatory Operations regarding the training and development of clinical staff. Participates in providing non-clinical office staff the clinical knowledge required to enhance their individual roles. Provides daily assurance that all areas are properly staffed with clinical support staff (Patient Care Associates, Medical Assistants and / or Licensed Practical Nurses) that are trained for a particular area. Changes work assignments as needed in order to assure an optimal workflow.
3. Directs patient care activities. Assesses patient flow. Is able to read and adapt to subtle changes in patient flow. Develops and maintains systems and processes to assure efficient flow. Able to provide direction to the staff in times of unanticipated provider changes. Able to articulate a plan, taking into consideration patient acuity, staffing ratios and budgetary constraints.
4. Performs and or delegates patient treatments. Documents patient care. Works closely with clinical support staff to develop and improve documentation in the medical records. Develops and implements educational plans for patients/families.
5. Addresses phone encounters and executes appropriate follow through. Acts as a mentor/role model to all clinic staff with regard to the gathering of information during the phone encounter process; with the ultimate goal of a comprehensive and thorough intake to pass along to the provider for further recommendations.
6. Assists physicians, PAs, NPs, Residents and /or Fellows with technical procedures.
7. Performs venipuncture using aseptic techniques.
8. Participates in the creation of a team-focused environment by coordinating clinical and clerical staff to ensure quality patient care under the direction of the Manager Ambulatory Operations.
9. Works closely with the Manager Ambulatory Operations to ensure that appropriate patient information is gathered at the point of check-in and updated as appropriate, and that provider’s schedules are accurately incorporated.
10. Ensures the efficient greeting of patients and visitors in the clinical areas. Fosters quality customer service.
11. Works with the providers to ensure efficient processes to support billing. Maintains effective liaison with a variety of staff and management in various departments throughout the organization. Coordinates the resolution of a variety of administrative issues.
12. Ensures the processing of office administrative paperwork, such as purchase requisitions, employment requisitions, employee time sheets, expense vouchers, etc.
13. Assists the Manager Ambulatory Operations in monitoring expenditures against the budget and explaining significant variances.
14. Ensures the coordination of the efficient set-up, maintenance, filing and retrieval of medical records during clinic sessions. Sets up and maintains extremely sensitive, confidential information. Acts as an EMR (electronic medical record) champion for all clinic staff, providers, students, and colleagues.
15. Ensures adequate inventory of clinic supplies and the basic maintenance of clinic equipment. Coordinates the re-ordering with purchasing, vendors, as required. Coordinates efforts for basic facilities maintenance activities under the direction of the Manager Ambulatory Operations.
16. At the discretion of the Manager Ambulatory Operations may conduct periodic employee meetings, which include feedback on clinic support staff performance, problems, and issues to foster process improvements, such as Idea Huddles.
17. Provides effective direction, guidance, and leadership over the staff for effective teamwork and motivation.
18. Collaborates with the Manager Ambulatory Operations to communicate and address facilities issues with building management to assure productive work environment including office cleaning, security, safety, parking, building maintenance, grounds.
19. Resolves or escalates patient complaints.
20. Alerts the Manager Ambulatory Operations to patient complaints and recommends quality improvement measures as appropriate.
II. Position Qualifications:
License/Certification/Education:
Required:
1. Current State of Massachusetts LPN license.
Experience/Skill:
Required:
1. Minimum of five (5) years of medical office LPN experience.
2. Demonstrated Leadership experience.
3. Ability to coordinate and organize multiple functions and activities in an ambulatory setting.
4. Must have excellent oral and written communication skills, as well as excellent interpersonal skills to effectively communicate with all levels of management, patients, and staff.
5. Excellent organizational and analytical/problem-solving skills.
6. Must be proficient in relevant computer software.
Preferred:
1. Prior supervisory or managerial experience including budgetary planning.
