GENERAL SUMMARY:

The purpose of this position is to provide support for the Enrollment Teams (Admissions, Registrar, and Financial Aid), as well as support the day-to-day operations of the External Engagement Department.

Incumbent has access to confidential information related to the Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99), a Federal law that protects the privacy of student education records and must comply with the terms of the law as it applies to their job role.

ESSENTIAL FUNCTIONS:

Ensures student applications are transferred from the applicant system (Slate) to the Student Information System (Colleague) accurately by reviewing applications for duplicates and data errors.  Makes corrections as needed.Uploads and performs data entry of transcripts into the Customer Relationship Management (Slate) and Student Information System (Colleague) system and reviews student records from the National Student Clearinghouse.Provides administrative back-up support for the department, including answering phones, reviewing e-mails, typing correspondence, scheduling meetings, taking minutes, and filing expenses.Assists with gathering information and distribution of various reports including enrollment projections, enrollment outcomes, student progression letters, retention and graduation data.Performs miscellaneous duties as assigned.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Bachelor’s degree in business or related field and/or equivalent training and/or experience.A minimum of 2 years’ experience in providing management level support.Strong organizational and project management skills; ability to manage multiple projects simultaneously; keen attention to detail and accuracy.Demonstrated experience providing support for multiple individuals. Demonstrated experience Microsoft Software including word processing, spreadsheet, database, and presentation software.Demonstrated ability to prioritize, multi-task, and attention to detail.Strong oral, written and interpersonal skills to effectively communicate and interact with all levels, including members of the Board of Directors. Demonstrated skills in judgment and decision making.  Ability to be able to handle high level, confidential matters with sensitivity, discretion and diplomacy.Experience providing support in a higher education environment preferred.Experience with a student information systems (Colleague) or customer relationship management (Slate) tools preferred

PHYSICAL ACTIVITY REQUIREMENTS:  (Constant = 67%-100% of workday, Frequent = 34%-66% of workday, Occasional = 33% or less of workday)

CONSTANT:

Sight, hearing, talking, sitting, and the use of gross and fine motor skills.

FREQUENT:

Walking, standing, lifting, twisting, bending, stooping, and feeling.

PHYSICAL DEMAND REQUIREMENTS:

Light work:  Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.  Use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time.

VISUAL ACUITY REQUIREMENTS:

 Requires usage of computer terminal, extensive reading and deciphering of detailed materials and recognition of persons at a distance.

INTELLECTUAL/EMOTIONAL REQUIREMENTS:

·    Ability to adapt to constant change from one task to another, possibly of a different nature, without loss of efficiency or composure.

·    Ability to perform under stress when confronted with an unusual, dangerous, or emergency situation or in situations when working speed and sustained attention is crucial.

Ability to influence others’ opinions, attitudes or judgments.

·    Must function efficiently under demanding time frames.

·    Ability to maintain a high standard of courtesy and cooperation in dealing with students and co-workers despite the stress of the office work environment.

EQUIPMENT/TOOLS:

Computer, photocopier, printer, telephone, fax machine, audiovisual equipment.

WORKING CONDITIONS:

The worker is not substantially exposed to adverse environmental conditions (such as in typical office work).
