Duties Description This entry-level position will support the day-to-day operations work of the Capital Grant program. Scope of work will include (but not limited to) general administrative support, technical assistance in panel review sessions, preliminary contracting, support for SFS processes (ex. role mapping of contract signatories), and more. This position will provide support in the creation of capital contracts awarded by the Council on the Arts. Under Executive Staff direction, the selected candidate will be responsible for the following tasks:• Work closely with Capital Projects team to support all stages of contract execution, including tracking status of contracts in progress; drafting communications to grantee contacts; communicating regularly with internal staff to ensure prompt payments and resolution of issues; collaborating with the Capital Projects and Operations teams to ensure tracking systems are efficient, accurate, and transparent.• Assist in the preparation of work plans identifying key deliverables, critical dates, etc. by utilizing electronic systems such as the Statewide Financial System and SmartSimple.• Support supervising staff in their review and approval or disapproval of contracts.• Resolve minor changes or additions to contracts.• Document major or complex issues or problems and refer them to supervisor. Draft written responses to interested parties on contract awards and contract status.• Prepare reports outlining major changes for resolution.• Follow up on proposed contracts throughout the approval process with internal reviewers and external approval agencies such as the Office of General Services, Department of Law, and the Office of the State Comptroller.• Assist with special assignments and projects.
Minimum Qualifications Bachelor's degree* plus two years specialized experience in finance and data function at a government agency, not-for-profit organization, or organization primarily serving not-for-profit organizations.*Substitutions: Four years of equivalent work experience may substitute for a bachelor’s degree. A master’s degreemay substitute for one year of non-supervisory experience beyond the bachelor’s degree.Preferred Qualifications:• Excellent communication skills, with the ability to work with a wide variety of stakeholders.• Highly organized, with demonstrated ability to create and maintain dynamic tracking and filing systems with a high degree of accuracy and consistency.• Ability to manage and coordinate multiple projects and deadlines simultaneously, with a careful attention to detail.• Interest in the arts and culture sector, nonprofit sector, and/or capital projects a plus.
