Job Summary:
The Assistant Buyer and Facilities Coordinator provides administrative support to the Facilities ServiceDesk, prioritizing and processing service requests, resolving maintenance issues, and ensuring a safe and pleasant environment within retail satellite stores and Home Fragrance facilities. This role involves managing vendor relationships, tracking inventory, and monitoring repair and maintenance costs to adhere to budget constraints.

 

Responsibilities:

Prioritize and process service requests to maintain a safe and pleasant environment in retail satellite stores. Contact approved vendors for services and research potential changes to the vendor list. Purchase and track inventory of store fixtures and equipment. Inform facilities management of ongoing maintenance or vendor issues and recommend improvements1. Set up and organize satellite store data within the facilities management software program. Source vendors and establish maintenance contracts for various services. Obtain and review quotes. Issue purchase orders to service providers and expedite services as required as well as vendor set up. Manage the receipt of services, process invoices, and resolve discrepancies. Act as a liaison between suppliers and internal groups. Support openings, relocations, and the closing of retail satellite stores.

 

Knowledge, Experience, and Skill Requirements:

Minimum 2 years of experience in a high-volume accounting role. Strong analytical and problem-solving skills. Proven ability to work independently and in a team environment. Proactive attitude and ability to work in a fast-paced environment. Solid computer skills, including Microsoft Outlook, Word, and Excel. Experience in SAP and Ariba is highly regarded but not essential.

 

Qualifications:

High School Diploma or equivalent experience; associate or bachelor’s degree is a plus. Exceptional communication and interpersonal skills. Ability to prioritize work in a fast-paced environment. Flexibility in work schedule, including extended hours, weekends, and holidays as needed. Responsibility for after-hours beeper coverage on a rotating basis with other ServiceDesk staff.

 

Preferred Qualifications:

Proficiency with Microsoft 365, excel, and word processing technology. Attention to detail and strong organizational skills. Previous experience in retail store maintenance or dispatching is a plus. Basic knowledge of Building Automation Systems and/or HVAC systems is a plus.
