General Overview:

The Lifelong Engagement Team is responsible for all national and international engagement of constituents including alumni, parents, donors, and friends of the University. This team manages nearly 40 ’Canes Communities, regional councils, affinity groups and develops appropriate University signature events and national tours. This team serves as engagement experts and will strategically pair up constituencies with opportunities for engagement, working to actively move volunteers and prospects through a pipeline of involvement and trajectory of giving. 

The Engagement Associate will be responsible for managing projects in support of marketing, communication, and implementation of regional and affinity events and programs in select markets of ’Canes Communities. This individual will serve as the liaison for the team as it relates to volunteer led activities including but not limited to community led events, event registration, social media, web edits, and other communication. The Engagement Associate will report to the Assistant Vice President, Lifelong Engagement.

Essential Responsibilities:

Collaborate with the Assistant Vice President for Lifelong Engagement to support the team in executing the communication and marketing of regional and affinity programs and events that encompass both engagement and fundraising, and that fosters a high level of participation and that meets the core metrics/annual objectives.Serve as the liaison with regional and affinity volunteers and other alumni in markets who need support to use University event and communication tools, software, and social media kits. Support engagement officers in researching venues, photographers, and other vendors in market for regional events. Regularly update listing of approved vendors in support of regional activities.Track event logistics for volunteer led events hosted by regional ’Canes Communities and affinities. This includes but is not limited to developing an appropriate cadence of communication, preparing event registration and invitation details, and drafting email messages to alumni.  Ensure appropriate updating of the CRM post event and support clearing any report exceptions in collaboration with the Manager, Development Initiatives.Support engagement officers in preparing for travel through preparing itineraries, researching flights, hotels, and meeting locations. Consult with internal resources/members/customers to organize timelines, deliverables, deadlines, and approvals for communication, events, and other projects for the Lifelong Engagement team.Act as the point of contact and communicate project or event status to relevant stakeholders. Communicates timeline changes and new information to regional team.Collaborate with Unit Development to partner with Schools and Colleges to enhance our programing, highlight program faculty and accomplishments in unit, and elevate the university’s brand across the country. Maximize constituent engagement for all programs and events by using various recruitment and communication vehicles, including but not limited to, social media, digital media, list serves, websites, volunteer outreach efforts, and personal contact.Composes and creates correspondence, such as informative materials, promotional and program materials, leverages University tools for design and other marketing purposes.Assists in evaluating current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.Assist the AVP of Lifelong Engagement with any matters or responsibilities deemed appropriate.

Qualifications:

Bachelor’s degree with an emphasis in Project Management, Marketing and/or Communications preferred. A minimum of three (3) years of effective and relevant work experience in event and program planning with some fundraising experience. Experience working with volunteer-based support groups or constituents and special event coordination is essential. Excellent social and customer service skills, and initiative mixed with sound judgment; good verbal and written communication skills are required, as well as the ability to interact with all University constituents. Ability to manage events and projects from start to finish, managing time and tasks effectively. Ability to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of initiatives. Need to be a strategic thinker with excellent organizational and interpersonal skills, and a philosophy of teamwork and hands on implementation. Ability to persuade and negotiate with internal and external audiences required. Must exhibit a willingness to provide outstanding customer service, and an outgoing receptive personality. Should be comfortable working independently; follow directions of, accept constructive criticism from, and seek advice from their supervisor. Must have an excellent command of all Microsoft Office Applications, including Word, Excel, and PowerPoint. Database/Raisers Edge or CRM, a plus. A flexible schedule due to the high time demands of the position is expected.
