**Job Description:**
In our Jesuit tradition, Student Engagement seeks to underscore the development of the whole person and particularly assist students in their transition and exploration at Fairfield University. Student Engagement empowers students to work together to build community, lead ethically, and value differences. Through interdivisional collaborations, especially between academic affairs and student affairs, Student Engagement connects students to curricular and co-curricular experiences that empower civic responsibility and personal growth.
The Full-time Assistant Director position is a 12-month position advises the Club Operations & Student Organizations (COSO) Board within the Fairfield University Student Association (FUSA) and the Programming Board. The Assistant Director, in conjunction with COSO oversees the coordination and development of over 100+ student organizations on campus, including the recognition process, club compliance, club finances (budget requests, purchase requests, requisitions, vendor payments, contracts, etc.), room reservation and event planning processes, and club policies). The Assistant Director is also responsible for organizing and administering system-wide co-curriculum events, including the forecasting, planning, developing, promoting, and evaluation of programs that are focused on providing a diverse student body with opportunities for personal growth and leadership development. This position reports directly to the Assistant Director of Undergraduate Student Life.
**Essential Functions:**
**Serve as one of the advisors to the Fairfield University Student Association (FUSA):**
+ Assist in the on-going leadership development and training of the 80+ Title-Holding Members of the Fairfield University Student Association (FUSA) through the development of workshops and planning of team-building activities.
+ Meeting regularly with advisees and support them in their personal and professional development.
+ Help plan the FUSA End of Year Banquet in April, and the FUSA Inauguration Dinner/Ceremony in May each year.
**Serve as the primary advisor to the Club Operations & Student Organizations (COSO) Board.**
+ Work closely with the COSO in the development and implementation of strategic initiatives, policies, and procedures to better serve the 100+ recognized student organizations.
+ Maintain a list of active/inactive student organizations, club membership rosters, and club advisor rosters.
+ In collaboration with board members and OSE staff, provide fiscal oversight of the $60,000+ COSO budget and club savings accounts, and manage spending of COSO allocations (purchases, contracts, vendor creation system in WorkDay, etc).
+ Assist clubs in the planning and implementation of club-sponsored events and programs, including reserving rooms, submitting catering, media requests, and work orders via an online Event Management System.
+ Develop, implement, and track risk-reducing policies and procedures for all clubs and student organizations, including, but not limited to: travel, fundraising, programming, marketing, etc.
+ Implement and assess a year-long Club Development curriculum to aid in the leadership development and investment in club leaders.
+ Oversee the implementation and management of Life@Fairfield as it relates to COSO, including Portal creation, Portal renewals, Club Leader Position tracking, Club Membership rosters, Budget management, etc.
+ Develop and oversee a comprehensive assessment process for Clubs & Orgs to improve the student experience and student development.
+ Educate and train COSO Board members & Club Leaders on University policies and procedures.
+ Recruit, train, and continually engage with and support in the development of Club Advisors.
+ Utilize WorkDay to manage purchase requisitions, paying vendors, reconciling PCard purchases, etc.
+ Reconcile monthly the FUSA PayPal account with Finance.
+ Manage the COSO TouchNet Storefront where club members pay dues.
+ Utilize University Purchase Card to purchase supplies for clubs.
+ Plan, in collaboration with COSO and campus partners, the Fall & Spring Activity Fairs.
+ Plan Club Advisor Engagement programs to prepare faculty and staff in their advisement of student clubs.
**Serve as the primary adviser to the Programming Board and Treasury Board:**
+ Develop and train the programming board, comprised of 4 sub boards and 25+ students
+ Advise the respective areas of programming, i.e. Cultural & Arts, Sports & Recreation, Traditional Events, Concerts, Trips, etc., in their implementation of over 60+ events
+ Plan and execute FUSA’s annual MainSTAGe Concert, Presidential Ball, Siblings Weekend, and Spring Fest
+ Meet weekly with the Director & Associate Directors of Programming
+ Meet weekly with the Director of the Treasury
+ Direct and produce multiple large-scale programs including the major concert, featured speakers & dances.
+ Negotiate and manage contracts for artists, vendors, speakers as well as process all financial paperwork.
+ Responsible for the overall management of the $300,000+ FUSA budget secured from student activity fees.
+ Support the use of the FUSA Life@Fairfield portal within these entities.
**Coordinate and collaborate with student organizations to support student engagement opportunities across campus which includes the marketing and promotions of these events:**
+ Oversee event approvals and the marketing of student events within Life@Fairfield, our Anthology Engage student engagement platform.
+ Develop and maintain promotional materials through various media, including photography, social media and traditional promotions to support all involvement areas connected with student organizations.
+ Continuously assess student needs by evaluating program effectiveness and success.
+ Establish policies and implement best practices as it relates to student programs.
**Assist with the growth and development of the Office of Student Engagement**
+ Sit on the Domestic Club Travel Committee as it relates to student organizations.
+ Prepare documentation including annual reports, assessment projects, and other materials as required.
+ Assist with Senior Week and Alumni & Family Weekend.
+ Assist with June Orientation, Graduate & International Student Life Orientations, and Fall Welcome.
+ Assist the with leadership opportunities.
+ Assist with late night programming.
+ Co-Facilitate one or more First Year Experience (FYE) seminars for First Year and Transfer Students.
+ Provide operational support to the department.
+ Serve as a responsible committee representative as requested.
+ Attend departmental meetings and inform staff regarding relevant information.
+ Promote an image of efficiency and courtesy throughout the University community and ensure that it is consistent with the Office of Student Engagement’s mission.
+ Remain cognizant of the University's mission and identity, the constant promotion of social justice, and importance of student voice.
+ Communicate effectively with supervisor concerning pertinent departmental and/or University matters.
+ Provide coverage at designated events as needed.
+ Other duties as assigned that are within the best interest of the department.
**Qualifications:** Master’s degree required, 2-4 years of Full Time experience in field. Applicants should have some background or interest in student affairs administration/college student personnel, psychology, education, or related area. Demonstrate experience and interest in working with student programs, leadership development, and program supervision or related experiences are required.
