TheAssistant Directoris responsible for building and cultivating alumni networks and strategic connections among nearly 50,000 alumni while supporting the strategic goals of the Office of Alumni & Constituent Engagement. This role focuses on executing the event management of the office’s signature alumni and constituent programs, developing alumni regional chapters, and collaborating with Advancement officers to enhance philanthropic efforts and alumni participation. The position reports to the Director of Alumni and Constituent Engagement. Responsibilities: + Lead and/or provide assistance on all alumni and constituent engagement signature events, including Griff Weekend, Sports Hall of Fame, Distinguished Alumni, and more. + Oversee event details including venue, food/beverage, audio/visual, entertainment, decorations, volunteers, sponsorships, etc. + Work collaboratively with high-level alumni volunteers and committee members. + Develop invitation/mailing lists using query-based software. + Coordinate the planning and execution of all event-related mailings, responses and post-event follow up. + Prepare, manage, and monitor all event budgets. + Create and prepare emails via Benchmark, an email software platform. + Develop event registration pages through CRM integrated software to track event attendance. + Prepare post-event analyses, including post-event surveys, assess opportunities, and make recommendations for improvements. + Collaborate with development officers to advance prospective donors toward philanthropic solicitations. + Develop, coordinate, implement, and evaluate programs to promote alumni relations through regional networks. + Plan and execute regional strategic plans in collaboration with the director and other key stakeholders. + Manage regional volunteer leadership, including recruitment, training, and communication with chapter leaders. + Develop communications calendar for signature events and initiatives and develop content for social media platforms. Work with Creative partners when needed. + Update and refresh alumni web pages on the institution's website. + Supervise Alumni and Constituent Engagement student workers. + Monitor and answer all incoming phone calls to the alumni office and appropriately assist the caller. + Perform other duties as assigned. Qualifications: + Bachelor’s degree and at least 2-4 years of relevant experience in alumni relations, event planning, development, project management, volunteer management, or comparable experience; or an equivalent combination of experience and education. + Outstanding written, verbal, and interpersonal skills. + Ability to work collaboratively with various constituent groups, colleagues, volunteers, and campus partners. + Demonstrated ability to work with, motivate, and lead volunteers. + Ability to gather, condense, and synthesize information, providing accurate analysis and summaries. + Demonstrated success in planning and executing large-scale events and engagement programs. + Excellent organizational, project management, and proofreading skills with the ability to manage and prioritize multiple projects with keen attention to detail. + Ability to take initiative and work independently. + Demonstrated proficiency in Microsoft Office, CRM systems, email platforms, event registration platform, and social media platforms. + Must be able to lift up to 15 pounds at times. + Willingness to travel occasionally and work some evenings and weekends. Compensation Range: $60,500 - $65,000 Please note that the compensation information is a good faith estimate of the base pay for this position. The selected candidate’s actual base pay will be based on job-related, non-discriminatory factors including experience. Information about the total compensation package for this position will be provided during the interview process. Benefits: This is a full-time, 12-month position. Benefits are available the first of the month after the full-time employee’s date of hire and include – health, dental and vision insurance, life and long-term disability insurance, and retirement plan enrollment is available to full-time employees with contribution from the University after one year.
