Assistant Director of Finance
Job Description The Assistant Director Finance Business Partner is responsible for overseeing the effectiveness of financial controls, books, records, and reporting of the hotel. This role ensures compliance and accuracy through leadership and strategic oversight of the Accounting Department. The Assistant Director guides the financial strategy, oversees operations, and manages personnel development within the department. Essential duties and responsibilities – (Key activities) A. General · Ensure comprehensive knowledge of and adherence to all departmental policies, service procedures, and standards through effective leadership. · Oversee financial analyses of monthly statements and ensure accurate reporting of these results to the Director Finance Business Partner. · Ensure that accounting and related department operations comply with hotel procedures through effective supervision. · Support the Director Finance Business Partner in reviewing and validating capital expenditures to ensure compliance with budgetary guidelines and company policies. · Collaborate with the Director Finance Business Partner in the preparation of annual budgets. · Lead annual and periodic inspections of fixed assets across departments, ensuring proper procedures are followed. · Manage the control and safeguarding of all licenses, contracts, and agreements, and oversee their timely renewal. · Oversee the maintenance and updating of all insurance policy records. · Coordinate forecasting expenses for all departments B. Accounting · Supervise the review and verification of collectability of items in AR Aging and participate in credit meetings to discuss and adjust bad debt provisions as necessary. · Ensure that receivable and vendor ledger balances align with respective sub-ledger balances in PMS/POS. · Oversee and verify the processing of journals and journal vouchers, ensuring compliance with required procedures. · Supervise monthly allocations of prepaid and accrued expenses and ensure accurate accounting. · Review draft monthly account statements to ensure accuracy and report findings to the Director Finance Business Partner. · Ensure that fixed asset purchases are in line with the capital expenditure budget and that the fixed assets ledger is accurately maintained. · Coordinate physical inventories for food, beverage, and operating supplies, ensuring compliance with required guidelines. · Oversee the preparation of monthly Balance Sheet Reconciliations, providing backup for each account. C. Financial Affairs · Manage the annual statutory audit of books and records, including owner audits and corporate office audits. · Maintain a working knowledge of accounting regulations relevant to the property's location. · Oversee daily bank balance reviews and the preparation of bank balance sheets. D. Taxation · Ensure timely and accurate completion of all statutory tax reporting. · Serve as a point of contact for tax inquiries and maintain close communication with tax accountants and attorneys. E. Personnel Management · Evaluate team performance and lead the recruitment and talent development initiatives within the department. · Advise on hiring and termination within the accounting department, ensuring alignment with organizational goals and standards. · Other standard responsibilities · Complies to the company policies. · Works within all pre-set budgetary limits. · Develops and updates policies and manuals, as related to the division/department, for implementation in the field, while ensuring compliance to the same for consistency across the group. · Actively participates in and leads recruitment and talent development for the division/department, to meet both current and future needs · Is a “brand ambassador” at all times and ensures brand integrity and clarity are always maintained. · Models the company’s culture, vision, mission and core values at all times. Required skills – · Must have a thorough knowledge of all jobs in Accounting, Purchasing, Systems Management and Food and Beverage Control areas. · Language: good command of English and local language both in reading, writing and conversation. · Motivator and self-starter · Displays initiative · Commitment to professional values · Team builder · Able to work independently and supervise the whole accounting department is preferred · Able to handle other laws, insurance, banking and taxation issues is preferred Qualifications – · Accounting or Administration Degree · Accounting trainings in college or CPA firm · Preferred: Qualified member or finalist of public accounting bodies Experience – · At least 5 years’ working experience in hotel Accounting Department · 3 years’ working experience in a similar capacity
