Purpose

Contribute to the dynamic Humanities Institute (HI) team supporting HI’s mission that promotes campus and humanities programs, grants, research, and initiative activities. Supporting the Director, Assistant Director of Research Development, and Associate Directors for Digital Humanities, Intersectional Humanities, AI, Science and Culture in various operational and administrative tasks.

ResponsibilitiesAdministrative Management: coordinate with the HI Director, Assistant Director for Research Development, and the Associate Directors for the Initiative Digital Humanities, Intersectional Humanities Initiative, and AI, Science, and Culture (and all future initiatives) in providing oversight, managing the daily business of the Humanities Institute. Assist in evaluating and analyzing projects to ensure quality project management, completion, and delivery.  Manage and perform human resources operations for HI, including Workday business processes. Serve as a central information resource for HI administration and advise on departmental and university policies and procedures. Develop reports, briefs, presentations, and other materials to help advance strategic goals. Exhibit a commitment to departmental and university service and demonstrate a willingness to collaborate with colleagues in the department and across the college and university.  Assist with strategic planning with the HI leadership to grow the program and align with the university's strategic plan. Serve as the departmental inventory contact and manage purchases. Work with HI leadership, COLA Centralized Business Services, and COLA HR personnel for HI budgeting, appointments, and hiring procedures.Program Development: assist the Director, Assistant Director of Research Development, and the ADs of HI Initiatives with strategic planning, reports, meeting minutes, program development, and execution.Program Planning and Management: manage and oversee all administrative operations for the Humanities Institute and all public events, including securing space, performing travel management for the initiative program and grant activities, guest lecturers, and ensuring compliance with University and College special event policies. Work with UT and community partners for programming.Staff Supervision and Management: coordinate HI activities with the Assistant Director of Research Development. Manage HI research activities between Initiative Directors and student participants. Direct, manage, hire, and supervise all administrative operations for undergraduate work-study students. Assist research faculty with job descriptions and postings for grant-funded positions. Duties include, but are not limited to, payroll, human resources, employment recruitment, purchasing, account reconciliation, reporting, and inventory management.  Organize weekly staff meetings and serve as project manager for HI projects, identifying and assigning tasks, tracking progress, and ensuring deliverables are met promptly and successfully. Assist the Director and Associate Directors in communicating with faculty affiliated with the HI.Communications Management: provide content for the HI website and manage updates. Manage all co-sponsorships and collaborative communications for COLA departments. Create, design, and promote content on HI's social media accounts and website. Produce newsletters and features, coordinate publicity for all Institute events, and collaborate with university research partners to increase visibility for research events. Work with HI senior leadership and COLA Public Affairs to identify stories that promote the College and the Institute.Assist the Assistant Director of Research Development: maintain financial records and report and coordinate communication with the Director and Associate Directors about financial management. Remain in frequent contact with the College of Liberal Arts Business Services to ensure necessary paperwork is ready and signed promptly and timely.Other related functions as assigned

Required Qualifications

Bachelor's degree in related field. Four years of related experience. Ability to interact in a professional manner with students, faculty, staff, and the public. Excellent written and oral communication skills. Demonstrated interpersonal skills. Independent decision making and problem-solving ability.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Additional experience beyond required qualifications, including oversight of department budgets. Experience using advanced features of UT Box, DocuSign, and extensive Workday knowledge as an HR Partner. Knowledge of or interest in business process improvement. Master’s degree in related field.

Salary Range

$75,000 + depending on qualifications
