Assistant Facilities Manager

Overview:

Assist the Senior Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client’s corporate real estate goals and objectives.

Essential Functions:

Assist Senior Facility Manager with tactical planning for the site as needed or requested Assist with ordering of office supplies, consumables, PPE, etc.Provide general overall facility management services including continuous monitoring of office/facility Support work order management for in house staff and vendors as necessary.Assist with the coordination and scheduling of maintenance activitiesSupport facility soft services as needed and directed such as: meetings preparation, conference room reservations and set up, food services, vending, and badgingAct as an interface with client, vendors, visitors and guests with a focus on providing quality customer service. Ensure appropriate follow up with customers Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption Monitor and report to the Facility Manager on the facility operation, through both direct employees and third-party service providers, to ensure that all KPI’s and SLA’s are met or exceeded Assist with budgetary requests, analysis, and reporting  Assist with researching, analyzing, and reporting budget variances Implement and monitor hazard control and team safety practicesManage site level invoicing as requiredAny and all other tasks and duties assigned 

Job Requirements

Bachelor's Degree or equivalent work experience in Facilities Management or Property Management requiredMinimum of two (2) years of industry experience required either in the corporate environment or as a third-party service providerStrong leadership and relationship building skillsStrong interpersonal skills and problem-solving abilityExcellent verbal/written communication and presentation skillsProven record of providing excellent internal and external customer serviceStrong knowledge of Microsoft Office products such as Office, Outlook, Excel, etc.
