We are seeking an Assistant Facilities Manager to work closely with the JLL Regional Workplace Manager & the Atlassian Workplace Experience Team to create and deliver exceptional workplace experiences for their Austin, TX site. In this role, you will be responsible for anticipating client needs, outperforming key performance indicators within the contract, and building & managing a high-performing onsite Facilities team to deliver operational excellence.
Key Responsibilities:
Team Management
Manage direct reports to maintain motivation, engagement & personal development
Lead the annual performance management process for direct reports
Oversee team personal development plans & training
Approve leave, travel & expenses for team members
Direct and manage the delivery of services applicable to your direct team
Workplace Management
Manage day-to-day operational aspects of Atlassian's Austin workplace environments
Lead 3rd party vendor management and liaison with Atlassian
Develop and manage relationships with Atlassian and the Workplace Experience team
Supervise facilities management function delivery
Oversee security vendor management and access pass distribution
Direct on site Facilities team service delivery
Lead workplace inspections and oversee JIRA service desk request management
Manage workplace asset replacement/refurbishment recommendations
Handle complaints management for service provider functions
Compliance and Safety
Ensure compliance with OH&S, environment, and risk management policies
Manage fire warden / first aid training programs
Project Management
Oversee workplace enablement functions for churn/relocation projects
Provide expert input on building management operations for projects
Financial Management
Review operating expenses and implement cost-saving measures
Prepare recommendation papers for property cost approvals
Manage monthly finance accruals
Produce monthly financial commentary
Oversee the office budget tracker
Administrative Leadership
Direct administrative support to Workplace Experience and Property functions
Manage the preparation of building notifications for internal communication
Oversee contractor/vendor induction and onboarding processes
Lead incident management and investigation
Ensure accurate and up-to-date maintenance data
Key Requirements:
3 + years of experience in facilities management or client service industry
Strong leadership and team management skills
Excellent communication and interpersonal abilities
Proficient in budget management and financial reporting
Ability to work under pressure and make decisions with limited supervision
Results-oriented with a focus on meeting and exceeding performance targets
Experience with flexible workplace environments preferred
