Assistant Facilities Manager
**Job Title** Assistant Facilities Manager **Job Description Summary** The Facilities Operations Analyst will be responsible for running key reports, managing data analytics, and overseeing special projects related to facilities operations, including preventative maintenance tracking and HVAC performance reports. This role involves working closely with facility operation leads (FOLs) to ensure timely reporting, accurate data analysis, and project coordination. The ideal candidate will have strong data analytics skills, project management capabilities, and be proficient in a variety of software platforms, including ServiceChannel, Excel, and Google Sheets. **Job Description** **Key** **Responsibilities:** + **Data Analysis &** **Reporting:** + Run monthly reports using **ServiceChannel** , **CCA** (Utilities), and **Rubicon** (Waste), analyzing data to identify trends and outliers. + Prepare **utility variance reports** and **HVAC performance reports** , providing insights on system efficiency and cost-saving opportunities. + Track and report on **preventative maintenance** activities, ensuring all systems are maintained in accordance with schedules and operational standards. + Generate monthly accrual reports and audit tracking, monitoring spend versus revenue for site audits. + Upload and maintain refrigeration assets as necessary, ensuring data accuracy in asset tracking systems. + **Project** **Management:** + Oversee and coordinate special projects related to facilities improvements and repairs, ensuring that Facility Operations Leads at DoorDash are updated on the status of each project. + Track the progress of vendor work orders and repairs, following up to ensure timely completion. + **Dashboard & Data** **Visualization:** + Create dashboards using **ServiceChannel Premium Analytics** to provide visual representations of data, uncovering trends that can inform future operations. + Explore new ways of analyzing data and uncovering trends to provide actionable insights to the Facilities Operations team. + **Support for Facilities Operations Leads** **(FOLs):** + Run ad-hoc reports and provide data as requested by FOLs, ensuring timely support for ongoing projects. + Assist in the creation of **Standard Operating Procedures (SOPs)** and other documentation to streamline processes and ensure clear communication across teams. + **Software & Tools** **Utilization:** + Proficiently use a wide range of software tools, including **ServiceChannel** , **Microsoft Office Suite** (Excel, PowerPoint, Word), **Google Suite** (Google Sheets, Google Docs, Google Drive), **LucidCharts** , and **Sigma** for data management, analysis, and documentation. + Quickly adapt to new software programs as needed to support evolving operational needs. **Qualifications:** + **Skills &** **Experience:** + Strong data analytics skills, with the ability to identify and communicate trends effectively to stakeholders. + Proficiency in spreadsheet manipulation, with extensive experience using **Excel** and **Google Sheets** for reporting, data analysis, and asset tracking. + Ability to manage multiple projects simultaneously, with strong organizational skills and a focus on meeting deadlines. + Excellent written communication skills, especially in creating **SOPs** and process documentation. + Experience with dashboard creation and data visualization, preferably using **ServiceChannel Premium** **Analytics** . + **Additional** **Qualifications:** + Ability to quickly learn and adapt to new software tools and platforms. + Strong problem-solving and creative thinking abilities to find new ways to interpret and present data. + Familiarity with **Smartsheet** , **Slack** , **Zoom** , and other collaboration tools is a plus. **Schedule:** This role requires flexibility to manage reporting and data analysis on a monthly basis, with deadlines aligned to operational needs.
