Assistant Facilities Manager
Description We are offering a contract to hire employment opportunity for an Assistant Facilities Manager in Toms River, New Jersey. This role falls within the operations industry and is centered in a dynamic workplace environment. The main function of this position is to assist the Facility Management team in the completion of various building operations and maintenance tasks for a portfolio of buildings. Responsibilities: • Coordinate and oversee maintenance and repair work assignments performed by technicians, vendors, and contractors. • Respond to and resolve client inquiries and complaints, ensuring timely and quality service delivery. • Conduct regular facilities inspections and prepare detailed reports. • Manage vendor relationships, providing training on work order and billing procedures. • Process invoices and ensure accurate cost center coding. • Assist in the preparation of operating and capital budgets. • Review periodic financial reports, explaining variances and working with the finance team to correct errors. • Use PC and/or PDA for work order systems, email, and training on processes and procedures. • Provide technical guidance and training to coworkers, as needed. • Perform other duties as assigned. Requirements • Proven experience in training and operations management. • Proficiency in establishing and implementing procedures. • Experience in invoice management. • Ability to create impressive presentations. • Familiarity with finance and billing processes. • Experience in managing vendors and maintaining vendor relationships. • Ability to perform ad hoc financial tasks. • Knowledge in facility management. • Strong focus on customer satisfaction. • Proficient in coding and capital management. • Ability to handle complaints and variance analysis. • Skills in preparing detailed reports. • Understanding of salary structures. • Proficiency in PC OS. • Excellent vendor management skills. • Ability to provide quality service. • Experience in landscape maintenance. • Familiarity with cost centers and ability to correct errors. • Ability to provide technical guidance.
