\n\nAdditional tasks/projects may vary according with annual KPI’s & customer centricity feedback.\nMaintain and validate documentation: SOP's, job aids, process flows, contingency plans and Period-end timetables.\nSupport the audit process (internal and external) in the most efficient way\nEnsure the financial accounts (balance sheets, P&L and Notes) are kept in line with IFRS16, LEAP Coordinators, Deutsche Post DHL policy and guidelines, and the DHL Regional Business Unit Operating Model.\nMaintain and validate documentation: SOP's, job aids, process flows, contingency plans, and Period-end timetables.\nSupport lease interpretation & analytical reviews\nPrepare & distribute monthly reports\nGive support to the team members in accounting process\nCarbon accounting reporting\nMonitor tax appeal program\nPrepare budget reporting\nCalculate & process CPI increases\nMaintain savings & avoidance reporting\nProcess MTM & Holdover updates\nProcess OPEX estimates & end of year reconciliations (desktop audits)\nManage security deposits\nGeneral ledger & cost center maintenance\nProcess Estoppel & SNDA\nProcess Commencement certificates\nResponsible for Lease abstract & data quality\nMonitor CREA Landlord mailbox & process requests\n\nYour profile:\n\nEducation Level\n\n\nTechnical degree in Accounting, Paralegal, or advanced Degree student\nEnglish Proficiency Intermediate (be able to read & communicate)\nAdvanced Excel\nExperience in SAP, Oracle, JBA, Bizagi, Brasware, Planon would be a plus\n\nExperience Level

Job Description

The purpose of the role is to directly supervise the activities related to the mailroom, reception area, facilities maintenance vendor relationships, and the overall support of the Supply Chain Support Center (North America Headquarters).


• Supervise Employees over mailroom and receptionist duties

• Lead facilities-related activities on a daily basis with the support of the Facility Manager

• Participate in move management activities

• Procure office supplies

• Codes and approves invoices to be reviewed by Facilities Manager

• Contractor management: Plan, schedule and oversee outside contractors to ensure quality control, professionalism, minimal operational interference, and their recommended scope of work is the right solution and is cost effective.

• Help Facility manager create and manage the budget for the SCSC

• Bring in innovation to the SCSC

• Manage vendor contact relationships

• Landlord building services

• Oversee the Maintenance Tech in regards to facilities/preventative maintenance

• Develop and maintain facilities services database – Including Vendor Review involving procurement

• Equipment maintenance

• Update facility floor plans

• Supervise mailroom services staff; work scheduling, work coordination, coaching and performance evaluation

• Back up to Facilities Manager

• Project management: manage building projects, including capital improvements, asset replacements and construction

• Assist in the development, implementation, and monitoring of budgets, as they relate to the property, to ensure that budgets are in line with approved baselines.


Required Education and Experience

• University Degree in related field, preferred

• 5years of experience delivering services in a corporate setting, preferred
