Job Summary

The Assistant Facilities Manager plays a critical role in the smooth and efficient operations of the Work Dynamics business line. This position is responsible for coordinating and overseeing a range of facility-related activities, including maintenance, space planning, vendor management, and project coordination. The Assistant Facilities Manager ensures that workspaces are well-maintained, optimally utilized, and provide a productive environment for employees and clients.

Site Operations Management :

Assist the Facilities Manager in developing a close working relationship with all the vendors. Assist with receiving and dispatching of work orders to technical staff, vendors or other services providers.Manage work orders on the CMMS (Corrigo) by looking ahead to upcoming deadlines and due dates. Work with vendors to ensure correct WO paperwork received and returned to maintain auditable process.Be aware of, and aid where necessary projects which are happening that may have an impact on operational delivery, contract or our Client risk. Coordination, scheduling, follow-up and satisfaction of maintenance and repairs activities.Coordination with onsite and regional Facilities team to advance service quality and enhance the client partnership.Perform regular inspections of facilities and report any issues or deficiencies.Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.Maintain accurate floor plans and space utilization records.Assist Facilities Management Team with tactical planning for the team’s goals and objectives

Finance Management :

Ensure prompt and accurate management of purchase orders in JLL’s financial platform.Assist FM on generating PO and Goods receiving. Finance Management: Support Facility Manager in initiating and closing purchase orders.

Security and Risk Management:

Make sure all managed team members, including vendors, are rehearsed on and adhere to our Client’s Security training.Understand and adhere to all security procedures, with particular focus on adherence to requirements around events and vendorsBe comfortable escalating early concerns or assistance needed from your management team.Follow established escalation procedures and incident reporting procedures.Ensure effective completion of all incident reports.Ensure compliance with Jones Lang LaSalle minimum audit standards, best Practice, policies and procedures.

Project Coordination :

Assist with the planning and execution of facility-related projectsCoordinate with internal teams and external stakeholders to ensure project timelines and objectives are metTrack project progress and provide regular updates to managementManage project budgets and expensesEnsure compliance with relevant regulations and standards
