\n \n Job Description

This Assistant General Manager is a liaison to the General Manager, homeowners, members of the Board of Directors, Committee Members, and the association management staff. This is an onsite 40 hours per week role who assists the General Manager with office, administrative and clerical functions, coordinating and scheduling, and project management. Team collaboration and customer service driven are essential for success in this role.

Daily responsibilities:

\n\nAssist General Manager with implementation of Board policy and directives within the scope of the management agreement.\nWorks with the general manager on strategic initiatives, policy governance and association projects.\nWalk and inspect property, ensure property is well maintained and HOA Code, Compliance, Rules & Regulations are adhered.\nMeet and greet homeowners, residents, members of the Board of Directors, maintenance vendors and contractors.\nResearch and respond to inquiries in-person, by phone, and email.\nData enter and update information in the database; record and track documents and information.\nAssist in creating and managing violation letters; review delinquency reports, clubhouse rental requests; interpret Balance Sheet, Income Statement, Operating Expenses, and reserves.\nAssist with and schedule and coordinate maintenance vendors and contractors for work to be done onsite.\nAssist in preparing board packages. Coordinate and schedule monthly and annual board meetings.\nAssist with creating weekly mass communications by mail and email to homeowners notifying them of maintenance onsite, HOA guidelines, and community events.\nAssist homeowners in completing architectural review forms and follow-up with homeowners on the Board’s decision.\nAssist with other projects as assigned.\n\n Requirements\nHigh school diploma or GED equivalent is required.\nCustomer service driven and team oriented.\nKnowledge of the Association Board of Directors, the General Manager, and how those roles interface with the requests of homeowners.\nKnowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.\nKnowledge of conflict resolution techniques at a proficient level.\nTime management and time critical prioritization skills.\nStrong communication skills (both written and spoken).\nHigh levels of attention to detail, initiative, accountability, and adaptability.\nAbility to meet deadlines and multi-task.\nStrong Microsoft Office skills and experience in property management databases would be a plus.\nProactive, reliable and dependable.\n\n
