Summary Assists with managing the daily activities of the EAP department, allocates scheduling of appointments using an Electronic Records System and schedules trainings. Triages confidential calls and emails for immediate disposition. Assists with managing the storage of confidential EAP documents and files in accordance with State law and company policies. Roles and Responsibilities · Assists with managing the daily activities of the EAP department. Ensures effective interaction between the Sr. Director, counselors and management and their staff, the Unions, and external providers by responding to inquiries and addressing administrative concerns. Also initiates follow-up and investigates problems. · Assists with managing the productivity of the EAP staff, allocates scheduling of appointments using an Electronic Records System and schedules trainings. · Assists with managing the EAP Electronic Records System and ensures accuracy for statistical reporting. · Assists Sr. Director with preparation for federal audits. Reconciles records to maintain compliance. · Assists with managing the storage of confidential EAP documents and files in accordance with State law and company policies. · Assists with managing the preparation of departmental operating and capital budget, monitors budgets accounts and requisitions. · Gathers, develops, prepares, and maintains accurate monthly and special reports for the department and the Sr. Director. · Assists and arranges trainings and conferences for EAP staff for required licenses and certifications as well as coordinate EAP trainings for employees. · Assists in other duties/tasks as assigned. Supervision Given to · None Education, Experience and Qualifications: Minimum: · Bachelors Degree in Social Work, Sociology or Psychology and s ix years of experience in EAP, Mental Health, Substance Abuse and/or Healthcare Administration. · Each year of education may be substituted for an additional year of experience. · Three (3) years of experience as Office Manager. Proficiency in using Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Access, etc.) Preferred: • Experience with Electronic EAP/ Healthcare Records such as Cority or related software Knowledge and Skills: • Proficient use of computers and software such as Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Access, etc.) • Strong interpersonal communication skills – must be able to interact effectively with all levels of the organization, internal and external customers. • Experience handling confidential mental health/drug & alcohol information required. • Excellent organization, administrative and multi-tasking skills required. • Excellent written and oral communication skills. • Ability to work independently as well as with a team. • Must be proficient in the use of Microsoft Office, meticulous in handing data and records and detail oriented in the development, implementation, and administration of the program. • Must maintain verbal information and written documents/files in a confidential manner.
