Under the guidance and supervision of the Program Director, the Assistant Program Director is responsible for program operational relation to the program.  The Assistant Program Director represents Southwest Key Programs in all interactions with prospective, former and current youth/families, funding sources, suppliers and the community served.  The Assistant Program Director is required to maintain a flexible, organized, and efficient work schedule and is subject to work extended hours, weekends, and be on-call.

Knowledge and abilities:Must be proficient with computers to use Microsoft Suite, SWK’s web-based programs, county, and state web-based programs.Possess great attention to detail to complete assignments with a high degree of accuracy.Possess excellent written and reading comprehension to document electronic progress notes (efforts) and all forms.Organize work, prioritize, and can meet deadlines.Possess excellent communication with external parties and professionals at all levels of the organization. Able to work independently with minimal guidance and as part of a team.

 

Duties & Responsibilities:

Initiate and monitor referral workflow. Support staff with work assignments, workloads, and work schedules (as needed).Oversee accounts payable and create and receive purchase orders.Review and submit petty cash and monthly expenditures. Manage/coordinate communication between staff, clients, administrators, and all other program stakeholders.Create and maintain program records and files. Create and maintain monthly, quarterly, and yearly reports.Able to reach to change productively and handle other essential tasks as assigned. Assist in training staff on program service components and coach staff as needed.Provide leadership, supervision and modeling to all employees, and volunteers. Adhere to and implementation of the terms of the contract in accordance with the funding source and Southwest Key Programs policy.Familiarity with excel, word, Microsoft Teams, oracle. Exhibits polite and professional communication via phone, email, and mail.Ensures operation of equipment by completing preventative maintenance requirements, calling for repairs, etc. Maintain equipment inventories through annual audit.Support program growth and development as necessarySchedule and organize program-related meetings and events.Ensure staff maintain appropriate documentation for compliance with SWK, County, State, and Federal guidelines.Assist in the development of data action plans to address performance issues of case management staff in collaboration with Program Director.Assist to ensure all incidents are submitted within the required timeframe to the County, SWK and CPS (if applicable). Work within the community to promote and engage Southwest Key Programs and assist in organizing events as needed. Maintain positive working relationships with community partners.May need to carry case(s) as needed. Other Functions: Attend and participate in all required professional trainings and workshops.Maintain open and consistent communication with Program Director or designee, and other team members.Transport clients to program activities, court appointments, school hearings or other treatment meetings as needed.Able to react to change productively and handle other essential tasks as assigned.Work evening, weekend hours and be on call. Qualifications and Requirements: A combination of one of the following:Bachelor’s degree in a social service or related field with two (2) years’ experience working with at risk youth and their families; may include part time, volunteer or internship experience. Bilingual in Spanish and English preferred.Clear background checks from all appropriate entities.Must be able to obtain First Aid Certification (CPR). Must possess a valid state driver’s license, registration and maintain state mandated car insurance. Physical Demands:

Must be able to verify client’s whereabouts by driving, sitting, standing and walking for extended periods of time. Daily use of various office equipment. Bending, stooping, climbing up stairs and lifting up to 15 lbs. required to complete daily tasks.

Work Environment:

This is a program which requires daily contact at various client locations. Traveling to various locations approximately 75% of the time. Must be willing to use personal vehicle for work related purposes as needed. Work shifts are subject to change. Noise levels vary from mild to moderate. This position may require extended periods of time in an automobile. Exposed to prevalent weather conditions.
