Assistant Project Manager
The Assistant Project Manager (APM) plays a critical role in ensuring the successful execution of projects across dynamic, fast-paced environments. The ideal APM is a proactive and detail-oriented professional who excels in collaborating with cross-functional teams, driving efficiency, and maintaining smooth workflows. With exceptional communication, organizational skills, and a sharp attention to detail, this individual contributes to delivering results that meet the highest standards of excellence on both local and global scales. To support the APM in excelling within their role, they will report directly to the Project Manager and receive comprehensive training along with all the necessary resources and tools. This ensures they fully understand how to achieve the objectives of their responsibilities effectively. This includes taking on responsibilities as an OCONUS APM, which requires flexibility and the willingness to travel—whether spontaneously or as part of preplanned initiatives—to support worldwide projects. This global focus underscores the importance of adaptability and dedication, aligning with the APM's critical mission to foster operational success across diverse landscapes. **Core Responsibilities:** + **Documentation Management:** Efficiently track, manage, create, and distribute project documentation with accuracy and attention to detail. + **Collaboration & Communication:** Partner with the Project Manager, superintendents, and construction managers (CM) to prepare and relay RFIs, submittals, and project documentation to architects and engineers, fostering efficient and effective collaboration. + **Project Coordination:** Maintain and update critical project tracking logs, including RFIs, submittal registries, procurement logs, change orders, purchase orders, and action item lists. Follow up with stakeholders to ensure timely responses and smooth project execution. + **Meeting Coordination:** Schedule and facilitate project meetings, record comprehensive minutes, and promptly distribute updates to keep all stakeholders aligned. + **Submittal Review:** Thoroughly review project specifications to ensure compliance for all submittals, shop drawings, data sheets, and product specifications before submission to client representatives. + **Change Orders:** Prepare accurate estimates and compile detailed information for change orders, ensuring timely client submission. + **Scheduling:** Support the creation, monitoring, and updating of schedules across multiple projects to maintain timelines and efficiency. **Logistics & Shipping Coordination:** + **Procurement Management:** Assist with purchase requisitions, purchase orders, and the creation of detailed material lists to streamline shipments. + **Shipping Oversight:** Collaborate with the logistics team to verify all ordered tools, equipment, and materials are accurate and complete before shipping. Coordinate closely with field staff to ensure on-time delivery for uninterrupted project progress. + **Vendor Engagement:** Manage buyouts with vendors, suppliers, subcontractors, and specialty companies. Prepare scopes of work, circulate them to relevant parties, and solicit competitive quotes. Oversee warehouse tracking on both East and West Coasts, ensuring delivered materials match purchase orders. + **Communication & Tracking:** Maintain proactive communication with clients, track shipments, and establish new vendor or supplier accounts for both domestic and international operations. **Self-Performance & Subcontractor Management:** + Provide critical support to both self-performance teams and subcontractors, ensuring alignment with project goals and deliverables. + Coordinate travel and lodging for tradespeople and project personnel, ensuring all arrangements are efficient and well-organized. + Gather necessary details from stakeholders to ensure travel and accommodations meet project needs. Contribute to project setup by organizing input, maintaining the project directory, and preparing for smooth execution. **Estimating, Budgeting & Financial Reporting:** + Assist with financial tracking and data collection to support budget management, cost monitoring, and accurate reporting. + Collaborate with project managers to update budgets, track spending, and ensure projects remain within financial targets. Maintain detailed records for historical data to inform future projects. + Contribute to project estimates, working with the procurement team to provide accurate forecasts for upcoming projects. Conduct site visits to assess field conditions and create existing condition reports. 8+ years of relevant experience with Bachelor's degree; 5+ years of relevant experience with Master's degree. Usually has 2+ years of experience leading, mentoring, and/or delegating the work of others.
