Assistant Project Manager
**Ultimate LLC has an immediate need for an Assistant Construction Project Manager for a direct hire position in the Hunt Valley, MD area. Salary is $50k-$55k** . The Construction Project Administrator provides administrative support to construction project teams and ensures that all aspects of the project are executed smoothly. This role involves assisting with project scheduling, budget tracking, coordinating communications between stakeholders, maintaining project documentation, and supporting the project manager in daily operations. **Key Responsibilities:** 1. **Project Documentation:** 2. Maintain and organize project files, including contracts, blueprints, permits, and change orders. 3. Ensure accurate documentation of meeting minutes, project plans, schedules, and progress reports. 4. Manage the submittal process and track approvals for materials and designs. 5. **Communication & Coordination:** 6. Serve as the primary point of contact for contractors, subcontractors, vendors, and clients. 7. Facilitate effective communication between the project manager, construction teams, and external stakeholders. 8. Schedule and coordinate meetings, site visits, and inspections. 9. **Budget & Financial Administration:** 10. Assist in preparing and managing project budgets, tracking expenses, and maintaining cost controls. 11. Process invoices, review billing statements, and ensure timely payments. 12. Monitor financial progress and highlight any discrepancies or issues with the budget. 13. **Scheduling & Time Management:** 14. Assist with developing and updating the project schedule, ensuring milestones are met. 15. Coordinate deliveries, ensure timely procurement of materials, and track project timelines. 16. **Compliance & Regulations:** 17. Ensure adherence to legal and safety standards, including OSHA regulations. 18. Help ensure compliance with contracts, permits, and licenses. 19. Keep track of project deadlines and ensure all required documentation is submitted on time. 20. **Quality Control:** 21. Assist in ensuring that all construction work is carried out according to quality standards and specifications. 22. Document any deviations from project requirements and ensure proper corrective actions are taken. 23. **Reporting & Documentation Control:** 24. Prepare regular project status reports, detailing progress, issues, and updates. 25. Maintain up-to-date logs for project changes, delays, and risk assessments. 26. **Support to Project Manager:** 27. Provide administrative support to the project manager by handling routine project related tasks. 28. Assist with conflict resolution and address any project-related issues that arise. **Skills and Qualifications:** + **Education:** Bachelor's degree in Construction Management, Engineering, Business Administration, or related field (preferred). + **Experience:** 2-5 years of experience in construction administration or project management support. + **Technical Skills:** + Proficiency in construction management software (e.g., Procore, Buildertrend, or similar). + Strong knowledge of Microsoft Office Suite (Excel, Word, Project). + Familiarity with budgeting and financial tracking tools. + **Communication:** Excellent verbal and written communication skills. + **Organization:** Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously. + **Problem-Solving:** Ability to identify and address project challenges proactively. + **Attention to Detail:** Ability to maintain accurate records and catch discrepancies in documentation or reporting. **Work Environment:** + Office-based with some time spent at construction sites. + Interaction with construction crews, contractors, engineers, architects, and clients **Preferred Qualifications:** + Experience with contract administration. + Knowledge of construction industry regulations and safety standards. + Project management certification (e.g., PMP, CAPM) is a plus.
