Assistant Project Manager (In-House Expeditor)

As the Assistant Project Manager, you will work closely with the Director of Engineering Management to oversee the Certificate of Occupancy (CO) process and manage building violations across a portfolio of high-end residential properties. You will be instrumental in ensuring compliance, coordinating with various stakeholders, and contributing to the successful completion of projects. Key Responsibilities: Project Coordination: Manage day-to-day project operations, including tracking progress and assisting with scheduling. Coordinate inspections, filing applications, and liaising with vendors to ensure project milestones are achieved. Communication Support: Act as a central point of contact, relaying project updates to building management teams, architects, engineers, contractors, and stakeholders. Collaborate with building management teams to gather critical information and resolve violations. Compliance and Documentation: Maintain accurate and organized documentation, including violation records, construction plans, and correspondence. Assist in managing permits and ensuring compliance with all governmental regulations. Issue Resolution: Proactively identify and address project challenges, escalating issues to the Director when necessary. Meeting and Reporting: Prepare materials, book meeting rooms, and take detailed notes during project status meetings. Generate monthly reports on project statuses, including open violations, permits, and CO updates. Hearing Attendance: Represent the team at Environmental Control Board (ECB) hearings as required. Professional Development: Attend training sessions and workshops to stay updated on the latest building codes and compliance procedures. Working Conditions: Location: Based in New York City, with occasional travel across NYC properties. Schedule: Full-time, with the flexibility to adapt to project needs. Exceptional communication abilities to collaborate with diverse teams and stakeholders. Basic understanding of building code compliance and construction processes (preferred but not required). Qualifications Bachelor’s degree in Business, Civil or MEP Engineering, Construction Management, Architecture, or a closely related field is preferred. 0–2 years of experience in project management, ideally with a focus on interior renovations. Exceptional written and verbal communication skills, with the ability to collaborate effectively within a team or work independently. Strong proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint. Highly self-motivated, detail-oriented, and capable of managing time effectively in a fast-paced environment. Flexible and adaptive, with the ability to respond efficiently to shifting priorities and project needs. Preferred Technical Skills: Familiarity with platforms such as SiteCompli, DOB BIS, and DOB NOW Build. NYC Department of Buildings (DOB) Class 1 and Class 2 Filing Representative certifications.
