Purpose & Overall Relevance for the Organization:
Assist and support the team in planning, executing and tracking Distribution Center & Supply Chain projects or improvements within the respective function.
Key Responsibilities:
Support Project team
Assist the project team in clarifying goals and procedures for a specific project or program. This includes the logistical handling of the project (e.g. creation of agendas, preparation and management of project material, writing reports, preparation of presentations and communication drafts as well as setting up workshops, etc.). Participate in meetings or programs to take minutes, gather information, and write correspondence for participants. Maintain and update websites that are related to the project or program. Access databases and enter results from surveys and focus group surveys. Development and presentation of ideas for project proposals. Prepare such proposals, conduct extensive research and collect the data. Carry out regular checks of the project together with the project manager. Verify that the work has been carried out in accordance with the company's processes and policies. Verify that material is being used correctly and that requirements or other guidelines and schedules are being followed. In the event of any problems or conflicts, notify the project manager and, if necessary, update the project plans to incorporate any changes into the project. Act as an interface between project/program directors, engineers, coordinators and other employees. Also a link between customers and employees involved in the project. Ensuring continuous training in the field of project management and communication methods.
Finance & Controlling
Follow-up, analyse and prepare the monthly project cost report and ensure timely and correct invoicing. Ensuring compliance with all SCM standards, e.g. PMO, Controlling Standards. Manage all project team costs and invoices (e.g., travel expenses, etc.). Manage invoice process for Purchasing Orders required for the project. Contact with suppliers and service providers to clarify and provide information for registration and billing process
Global Distribution:
Follow-up and prepare or update monthly portfolio reports as per demand Support management team on administrative tasks

Knowledge, Skills and Abilities:
Ability to work in a fast-paced environment with different international cultures Good numerical understanding and analytical skills, ideally experience in finance Very good communication skills, especially with regard to interacting with interlocutors of different business levels Willingness to travel at home and abroad, as required Fluent in English (written and spoken) Very good MS Office skills (Word, Excel, PowerPoint)
Requisite Education and Experience / Minimum Qualifications:
Four-year college education or university degree majoring in business administration or communications or IT or related fields or equivalent combination of education and work experience At least 1-2 years of progressive work experience in SCM project management
