The **Assistant Registrar,** will report to the Associate Director of Collections and work in conjunction with the Collections, Conservation, and Curatorial departments. This role will be responsible for organizing, managing, and performing a wide variety of professional registration duties processing the 659 works in the Lipschultz donation into the museum’s collection. This is a 9-month fixed-term position. **In this role, you will** **:** + Perform an item count inventory for the 659 works in the Lipschultz donation + Assign accession and loan numbers to the works and update the records in the EmbARK collection database + Complete a written condition report for each work, document condition with images and enter data and images into EmbARK + Manage the movement of the works to the matter/framer, retrieve matted works, and update locations in EmbARK + Physically number all works + Rehouse the works and determine storage locations. Update EmbARK records with permanent storage locations + Conduct copyright holder research and update EmbARK with the results of the research. + Coordinate photography with a contract photographer, manage the photo shoot, link images to the museum server and EmbARK + Demonstrated knowledge of museum copyright practices. Experience with Open Access strongly desired. + Accession the works gifted in 2025 by assigning accession numbers, updating all digital and paper files. + Create object files for all 659 works. + Other duties as assigned Please note that this position will be based on the Stanford campus and will be an onsite in-person role. The schedule for this role will be Monday through Friday. **In order to be successful, you will bring** **:** + Bachelor’s degree and two years of related experience or a combination of education and relevant experience, an advanced degree in Museum Studies is highly desirable + Demonstrates commitment to promoting and supporting an environment of diversity and inclusion. + Demonstrated knowledge of professional museum practices including registration methods, safe object handling and art preservation, packing and shipping, insurance, storage of art, security measures, and object numbering techniques. + Knowledge of and demonstrated skill using collection management databases, Microsoft Word and Excel; experience working with EmbARK Collections Manager database software is strongly desired + Demonstrated skill working with photographic digital files + Demonstrated knowledge of museum copyright practices. Experience with Open Access is strongly desired + Demonstrated knowledge of professional museum collection management practices + Familiarity with art history; and proficiency with collection management databases and Microsoft Word, Excel, Adobe Acrobat Pro, and strong Adobe Photoshop skills. + Must have excellent interpersonal, organizational and communication skills + Ability and willingness to maintain a high level of accuracy and attention to detail is essential, as is the ability to work well under pressure with a wide variety of museum professionals, vendors, students, docents, and others. _Don’t meet every single requirement?
