Assistant to the Director of Operations

Job Overview:

 

The Assistant to the Director Of Operations will complie, organizes and maintains maintenance records and related documents for the Operations Department. Assists the Director of Operations in processing paperwork and correspondence and other administrative related issues. The Director of Operations provides supervision. Positions in this class may be part or full time and may require holiday and/or weekend work schedules.

 

Compensation: $24-24.50/hour 

 

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

 

Job Responsibilities:

Prepares, organizes and files copies and/reports. Responds to homeowner inquiries regarding various administrative related issues. Reviews Residents Request Forms and assigns priorities. Generates and schedules work orders resulting from residents or management requests. Creates forms, send, receives and distributes mail, faxes and other correspondence. Maintains record keeping and writes letters as assigned. Stocks and tracks supplies as needed, makes phone calls as directed by the Director of Operations. Maintains work order system with focus on Preventative Maintenance. Assigns and schedules work when needed. Performs other clerical duties as assigned by the Director of Operations. Must have an understanding of Safety and Quality control with the ability to maintain it in the workplace. Maintains reports and documentation of incident reports, including security, burglaries, and alarms. Process requests and corresponding paperwork for R.V. storage, key deposits, lease agreements, availability, security and passes. Prepares paperwork for the Recreational Vehicle Storage Facility. Follows up on Recreation Vehicle Storage sign-ups and the monitoring of traffic flow. Assists with maintenance related jobs and other duties as necessary. Experience and knowledge of common building trades (Paint, Carpentry, Plumbing, Lighting and Electrical, Appliance) and Preventative Maintenance Concepts. Assists with other jobs and other duties as necessary.

 

Skills & Qualifications:

Moderate skills in reading, writing, math, comprehension, business and communications. Establish and maintain effective working relationship with all age groups. Preform all function listed above to an acceptable level without constant direct supervision and self-motivated to seek additional work. Must possess knowledge and proficiency in Microsoft Office such as Word, Excel and Outlook. Ability to us modern office equipment. Establish and maintain effective working relationships with others. Ability to compose and present both verbal and written information to various individuals. Ability to work a flexible schedule including evenings, weekends and holidays.

 

Education & Experience:

Must be proficient with Microsoft Office, Word, Outlook and Excel. Must have experience in using database software. The ideal candidate will possess strong communication skills, a friendly demeanor, and a proactive attitude. Experience in customer service or administrative roles is a plus.

Part time nonexempt position. Regular schedule is Monday through Friday, morning to early afternoon dependent on company need and workload. There are occasions when it is necessary to work various holidays and weekends.  Hours over and above 28 per week may occur.  Must be able to lift 25lbs. Must be able to sit for extended periods of time. Must be mobile enough to move around office. Must have finger dexterity for typing/using a keyboard. Must be able to stand and exert well-paced ability for up to 4 hours in length. Must be mobile enough to move around within the office and throughout the venue. The work environment characteristics are normal office conditions. Consistent and regular attendance required.
