What we want The Associate Athletics Director is responsible for the day-to-day vision and management of the Athletic Internal Operations Office and its continual growth as a service to the Athletic Department. Additionally, the Associate Athletic Director will assist the Executive Associate Athletics Director for Internal Operations with financial matters for the Athletic Department. Qualifications : Required Education: + Bachelor’s degree or equivalent combination of education and experience. + Five years athletic administration experience. Required Knowledge, Abilities, and Skills: + Cash and Accrual Basis Accounting skills. + Strong customer service/relations (communication) skills. + Must be able to work independently and in a collaborative team environment. + Nights, weekends and holidays as required to complete assigned duties. Preferred Qualifications: + MBA Degree + Three Years of Athletic Administration Exp which includes: managing athletic programs, budgeting, event coordination, compliance, and team management. + Three Years of Public or Private Accounting Exp.which includes: financial reporting, auditing, and budget management. + Experience using TAMU systems and processes: FAMIS, Aggiebuy, Concur, IPayment. + Applications experience: Laserfiche, Excel, Word, Access. + Knowledge of NCAA and SEC Conference rules and regulations and Texas A&M System Policies and Procedures. + Strong interpersonal communication skills. + Ability to gather and interpret data. + Demonstrated ability to manage, lead, and evaluate other staff members. Responsibilities + FINANCIAL REPORTS & RECONCILIATIONS - Manages the creation of monthly financial reports and reconciliations for all Athletic Department accounts. Reviews and approves the monthly and annual financial reports and reconciliations and distribute to the Director of Athletics, the President and the Board of Regents, Executive Staff, and Sport Administrators as requested. Oversees and participates in the compilation of financial data required to be submitted to the United States Department of Education (USDE) as required by the Equity in Athletics Disclosure Act (EADA) and Title IX of the Education Amendments of 1972. Performs the final review of the financial data submitted on the USDE online portal; submission must be completed by October 30th after each fiscal year end. Oversees and participates in the compilation of financial data required to be submitted on an annual basis to the NCAA as mandated in its bylaws for Division I. Plans and executes the external NCAA Agreed Upon Procedures audit with external auditors. Reviews and provides data required by the auditors to successfully complete their audit. Reviews and approves Deferred Revenue and Prepaid Expenses; these must be accurately reported to ensure that financial statements include only revenues and expenses associated with any given fiscal year. Coordinates bonded indebtedness schedules with the University Fiscal Office and System Financial Office; these can change year to year with the refinancing of current bonds and the selling of new bonds. Schedules must be current to budget for large payments made on these bonds. Reconciles athletics temporary working fund monthly through Quicken software. Performs other financial reporting and other duties as required. + INTERNAL OPERATIONS COORDINATION - Is responsible for the day-to-day vision and management of the Athletic Internal Operations Office for Business Activities and its continual growth as a service to the Athletic Department. Coordinates the continual improvement of efficiencies and workflows throughout the entire Business Office and assists Executive Associate AD for Internal Operations. Directly supervises of (1) Manager. Indirectly supervises (1) Assistant Managers, (2) Business Coordinators, (4) student workers, and (1) intern. Ensures essential financial duties are completed for business operations. + TABLEAU, BUDGET AND ANALYTICAL PROJECTS & EXPENSE TRACKING - Oversees all activity and updates in Tableau. Oversees and maintains dashboards in Internal Operations which includes all financial statements, team bench- marking, salary metrics. Work in conjunction with Athletic Information Technology to mitigate technological or database issues. Conducts bi-annual budget meetings with head coaches, operations personnel, and department heads for up to 30+ units to ensure that budgets are on target throughout the fiscal year. Works with department heads on ways to mitigate expenses when budget overruns occur. Oversees analytical projects for the athletic department as needed by the Senior Associate Athletic Director & CFO, Athletic Director, or other Senior Staff member in athletics. Tracks all expenses for facility renovations, construction projects, or coaching staff transitions. + COMPLIANCE - Maintains continual and thorough familiarity with all applicable NCAA, Conference and University rules and regulations. Establishes and ensures communication and enforcement of rules and regulations concerning student-athletes: conduct, appearance, road games, punctuality and other areas as deemed appropriate. Compliance is a shared responsibility.
