Associate Director, Administrative Services
Job Description:The University of Florida College of Medicine is seeking an Associate Director of Distance Education to oversee online graduate programs within the Office of Graduate Education. Reporting to the Director of Graduate Education, this role manages program and course setup, develops and assesses a proactive and holistic advising model to guide online students from orientation to graduation, and establishes policies and procedures for distance education activities. This position requires a resourceful, innovative, and student-centered professional with leadership skills and the ability to work independently in advancing online education.
About This Role
Management of Admission, Registration Team, and Distance Education Operations
Develops, implements, and maintains standardized procedures for admissions, registration, and student support services, ensuring efficiency and high-quality service to students, faculty, and stakeholders. Supervises and manages distance/continuing education employees, including evaluating FTE in relation to program revenue to ensure program sustainability, and oversees the maintenance of course, student, and faculty records. Manages the admissions and registration processes, resolves complex admissions issues, supervises application file maintenance, and coordinates student communication via email, phone, and online platforms, including after-hours coverage as needed. Designs, updates, and implements new student orientation materials in various formats and evaluates and enhances procedures to improve the delivery of support services. Collaborates with the Salesforce team to optimize processes, implements operational efficiencies, updates the OGE website with accurate distance education information, and assists the Director in strategic planning and execution for distance education initiatives.Management of Current Student Administration and Degree Certification
Manages student administration, including transfer credits, grade processing, and status changes, ensuring compliance with UF regulations. Monitors student progress toward degree completion, providing guidance and communicating with students and program directors. Oversees degree certification for online graduate programs, resolving complex cases and ensuring timely processing.Fiscal Responsibility
Oversees budget planning, development, and implementation for the distance education office, ensuring effective financial management and resource allocation. Manages administrative tasks, including processing reimbursements, reconciling transactions, and coordinating invoices for education programs within the College of Medicine. Develops and implements standard financial and registration procedures, audits income and expenditures, and collaborates with UF offices to enhance efficiency and consistency.Program Administration and Compliance
Collaborates with the Director of the Office of Graduate Education to assess and improve operational efficiency, focusing on streamlining workflows and identifying areas for improvement. Leads initiatives to enhance productivity by eliminating bottlenecks, reducing complexities, and implementing strategic improvements across office processes. Expected Salary:$98,000 - $108,000
Minimum Requirements:Master’s degree in appropriate area of specialization and four years of appropriate experience or a bachelor’s degree in appropriate areas of specialization and six years of experience.
Preferred Qualifications:The ideal candidate will possess:
Minimum of two years UF experience processing large scale admissions application, registrations, and degree certification. Minimum of two years of experience working with prospective students, applicants and current students. Experience with Salesforce and Slate. Knowledge of UF admissions, graduate school, and self-funded program policies and procedures. Supervisory experience, including managing, delegating, and resolving employee issues. Strong written and verbal communication skills. Ability to problem-solve and make decisions with minimal supervision. Experience working under deadlines and managing multiple tasks. Skilled at building positive relationships with students, faculty, staff, and other stakeholders. Ability to maintain confidentiality and comply with FERPA and university regulations.
