Associate Director of Admissions: Visitation and Event Manager

Job Summary:
Franklin Pierce University is seeking an Associate Director of Visitation and Event Management in the Admissions Department. In this dynamic role, the Associate Director will be responsible for enhancing the visit experience for prospective students and their families. This includes overseeing and managing on-campus recruitment visitation programs that effectively showcase the Franklin Pierce University experience, while maintaining exceptional customer service. The role involves providing direction and support for both on and off-campus recruitment events, as well as coordinating a variety of admission visits, such as individual, small group, and overnight visits.
Additionally, the Associate Director will support the Director of Enrollment Operations and Vice President to ensure the seamless operation of visitation programs. Strong organizational skills are essential, as this position will also play a key role in maintaining the smooth functioning of the Admissions reception area. A key responsibility will be supervising and mentoring a team of up to 30 Admissions Student Ambassadors, including tasks such as recruiting, hiring, training, and evaluating team members. Prior supervisory experience will be critical in identifying the ideal candidate for this position. This role reports directly to the Vice President for Enrollment and is an essential part of the Admissions team.
Essential Functions:
Event Planning and Management:
+ Develops in consultation with the Vice President, a visitation and events strategy and schedule that contributes to visitor’s favorable impression of, and the student’s desire to enroll at Franklin Pierce University.
+ Establishes event objectives/goals and evaluation methods.
+ Plans, schedules, organizes and executes logistics for all on and off-campus recruitment events including but not limited to Open House events, off-campus receptions and overnight programs. Logistics include but are not limited to responsibilities for room reservations, catering, parking, staffing, and other logistics.
+ Creates master plan for services including but not limited to facility and IT needs and set ups, signage mapping, catering and campus safety services. Communicates this plan in a timely manner, Reviews plan with all constituents, and provides follow-up to verify implementation plans.
+ Articulates and facilitates all event marketing campaigns including the timeline of communications, development of content, copywriting, editing, print requests, website, and CRM updates.
+ Develops and executes comprehensive communication plans with internal and external contributors supporting event presentations and other visitation programming.
+ Oversees and manages the online event management system to ensure accurate, timely and efficient event registration and logistics.
Daily Visitation Planning and Management:
+ Manages and continues to improve the overall day-to-day efficiency and functions of the Admissions Office as it relates to the visitor experience, including students, parents, and school counselors who seek to engage with the University.
+ Oversees all requests for visits to the Rindge campus of Franklin Pierce University. May communicate by phone, text and/or email to identify the needs and expectations of prospective students and parents for their visit.
+ Coordinates the timely and accurate campus visit schedule, ensuring all logistics including CRM updates in the event management system are handled in a timely and accurate manner.
+ Oversees day-of-visit operations, ensuring a welcoming and smooth experience for all visitors including the appearance of the Admissions Office reception and interview rooms to ensure the comfort of guests and the availability and pleasant presentation of recruitment material.
Admissions Ambassador Program Management
+ Facilitates the development of a Student Ambassador team that meets all visitation needs and contributes to visitor’s favorable impression of, and a prospective student’s desire to enroll at Franklin Pierce University.
+ Facilitates the development of a Student Ambassador team that are tasked with other Admission Office needs including but not limited to computer input, event preparation, or other admission processing duties.
+ Recruits, hires, trains, mentors, supervises and evaluates the Admissions Student Ambassadors.
+ Provides ongoing training and performance feedback to ambassadors.
+ Coordinates student work schedules to meet operational and tour needs for day-to-day operations and events.
+ Organizes and facilitates regular check-ins with ambassadors to obtain and provide timely feedback, address concerns, and ensure office needs are met.
+ Develops programming focused on leadership, communication skills, and other relevant professional skills for campus ambassadors with internal and external stakeholders.
Position Specification and Requirements:
+ Bachelor’s degree required, master's degree in student personnel, higher education administration, counseling, business or related field preferred plus experience, or a combination of education and experience from which comparable knowledge and skills are required.
+ Prior supervisory experience required.
+ Knowledge of the college admissions process desirable. Customer service and event planning experience required.
+ Machines, Tools, Equipment, Electronic Devices and Software: Incumbent must possess knowledge of Microsoft software – Word, Excel, and Outlook. Proficiency with CRM programs, MS Office and social media desired.
+ Valid U.S. Driver’s License.
SPECIAL CONDITIONS OF EMPLOYMENT: Incumbent must be able to successfully complete a background check and possess a clean, valid driver’s license. Incumbents must have the ability to travel.
