About the Role
Carry out market and index data vendor management processes with data/index vendors, liaise with relevant internal stakeholders andprocurement life cycle within AIA’s contract and payment system.
This role is also expected to participate in project tasks on relevant investment data functions in AIA Group.
Engagement with Data Vendor/Aggregator:
1. Assist in building Business Use Case based on the requirements from the relevant investment teams to get a proper proposal/quote.
2. Assist in negotiation with vendor to get the best pricing for New and Renewal of contracts.
3. Assist in coordination between AIA’s legal and vendor on contract review toward finalization, contract signing.
4. Responsible for review and arrange for invoice payment.
Procedures and Documentations:
1. Create, implement, and maintain on-going standard operating procedure (SOP) that “in-scope” for contracting/procurement processes which includes AIA’s contracting and payment systems.
2. Maintain index library platform on timely manner.
Engagement with AIA Stakeholders/Other Parties:
1. Handling all enquiries from AIA users on market/index data related.
2. Handling proposals and submission of contracts for management review and approval.
3. Handling checklist/monitoring/audit reviews and requirements of Group, AMCs and Business Units as per investment governance standards or local specific requirements, whichever applicable.
4. Responsible for handling of AIA’s contracting and payments system process for contracts digital storage and invoice payment.
Job Requirements :
Education – Minimum degree undergraduate in any related field
Experience - Fresh graduates or 1-2 years working experience is an added advantage. Experience in procurement related fields, shared services environment is preferred.
Excellent communication and writing skills.
Proficient in Excel functions to facilitate file reconciliation would be considered as an added advantage
