Job Title: Associate Relations Coordinator

Job Summary: The Associate Relations Coordinator is responsible for establishing a professional and supportive “first contact” for Associate-related issues that come through the Associate Service Center. Will triage questions and complaints in order to resolve and/or move to the appropriate person, as well as provide policy clarification and guidance on conducting progressive discipline.
Principal Duties:Conduct initial intake and needs assessment interview with associates that call the Associate Service Center or Ethics Hotline. Collect information from associate to begin a case file. Verify and update all associate information and enter it into the Riskonnect system or Workday Help. Evaluate associate histories and make recommendations to Associate Relations Specialist. Provide objective and constructive guidance on interpretation and application of company policies and overall performance management process. Facilitate policy review process and communicate policy updates through communication channels and to impacted parties. Consult with Senior ARS for any clarification regarding compliance to all federal, state, and local employment regulations/laws.Facilitate the Conflict Resolution Process for attendance terminations as assigned. Manage Conflict Resolution Process (CRP) intake, explaining CRP to associate to determine next steps. Document the initial request from associate filing for Conflict Resolution Process. Coordinate the Conflict Resolution Process, including preparing documentation for the ARS, Second Level Manager and Director Panel. Facilitate Step 3 of the CRP with the Director Panel. Assist Associate Relations Supervisor in maintaining related administrative record keeping and reporting systems including the shared drive, GM Case tracking and terminations. Prepare case management related reports.Facilitate the assignment, tracking and response to Ethics Hotline calls. Provide outcome response to the Ethics Hotline.Assist with ARS and Leave of Absence mailbox management, including responding to messages and voicemails.Monitor and assist with the performance management process including, but not limited to, the FOSA Management mailbox and guiding managers on deleting and performing necessary edits to documents. Review disciplinary action reports in Workday to identify coaching opportunities for managers. Review termination questionnaire responses and follow up with ARS as needed.Accurately and timely maintain the Associate Relations database to ensure accurate information regarding all cases. Provide statistics and analysis.Manage administrative tasks such as assigning Workday Help tickets, uploading documentation related to ARS case findings to associate’s personnel files, scheduling ARS Team meetings, preparing meeting agendas and minutes.Process invoices for People Team through SAP.Assist in absence management process including follow up and consult with managers on the interactive process.Adhere to strict boundaries and professional ethics in the care of others.Responsible for additional tasks as assigned by Sr. Supervisor, Associate Relations and Absence.
