The Office of Sponsored Projects (OSP) serves as the coordinating office for externally funded research and sponsored projects at The University of Texas at Austin. The mission of OSP is to assist faculty and professional research staff in their efforts to secure and ensure proper stewardship of external funding. We do that by assisting research faculty and staff with the following: proposal review, authorization, and submission; award negotiations and acceptance; account management; close-out, reports, audits, collection; professional development and education; export control, and research compliance.

Purpose

Support the Research Community at the University of Texas at Austin in capacity of Associate Research Administrator in the Office of Sponsored Projects. Primary duties are to support the Post Award Grants and Award team. 

Responsibilities

COMMUNICATION

Respond or acknowledge email or phone communication within 48-72 hours. If volume does not permit timely follow up, communicate with Assistant Director for assistance or guidance.

Co-monitor the Grants Mailbox and route grant actions to the appropriate Grants Specialist for review.

Co-monitor the Post Award Mailbox and route any award actions to the appropriate Awards Specialist.

Follow up on status of outstanding actions in a timely manner.

Assist with administrative staff training for the Grant and Post award mailbox related questions.

Demonstrate the ability to communicate effectively both orally and in written form.

POST AWARD ROUTING

Distribute documents via Point Plus to the assigned Award Specialist.

Create action in UTRMS and assign to Grants Specialist for additional set up if item comes through the Grants mailbox.

Pull award documents from sponsor systems and route to Grants Specialist for additional review.

Troubleshoot a variety of issues as required.

ELECTRONIC DATA MAINTENANCE

Input required data into UTRMS

Save electronic communications into E-share.

OTHER DUTIES

Reliable in performance of work assignments, carrying out instructions, and adjusts to changes.

Serves as backup for other Associate Research Administrator.

Provides cross training to other Associate Research Administrator.

Assists in monitoring administrative workload and provides support as needed.

Other related functions as assigned. 

Required Qualifications

High school graduation or GED, plus seven years of administrative experience.

Proficiency with Microsoft Office Suite applications including but not limited to Word, Excel, and Outlook, Adobe Acrobat.

Professional demeanor.

Excellent teamwork skills.

Exceptional attention to detail. 

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor’s degree and five years of administrative experience. 

Competency with UT programs. 

Experience working in a university environment and/or providing direct customer service. 

Demonstrated excellent organizational and communication skills.

Salary Range

$47,000 + depending on qualifications

Working Conditions

May work around standard office conditions

Repetitive use of a keyboard at a workstation
